How to Export Purchase Invoices to Excel: Template Guide and Filtering Steps

You can export purchase invoices to Excel by following these steps:

Access purchase invoices:

  • Navigate to the Purchases section

  • Select Purchase Invoices

Export the data:

  • Click the “Export” icon at the top of the page

  • If you need to export specific invoices, use the filter options first to select the required invoices

Template contents:
An Excel template will be downloaded containing the following data:

  • Invoice Number

  • Status

  • Issue Date

  • Due Date

  • Location

  • Total Before Tax

  • Tax Amount

  • Total (Including Tax)

  • Amount Paid

  • Amount Due

  • Terms and Conditions

  • Notes

Important Notes:

  • Product details (line items) are not available in the Excel file: The export file includes only the main invoice data (invoice number, status, issue date, due date, location, total before tax, tax amount, total including tax, amount paid, amount due, terms and conditions, notes) and does not include product/item details within each invoice.

  • Alternative to get product details: If the customer needs line items/products for a specific invoice, they can download the invoice as a PDF from within the invoice itself (open the invoice then print/download as PDF), where all product details, quantities, and prices will be displayed.

  • This limitation also applies to sales invoices when exported to Excel (line items do not appear). For product line details on sales invoices, you can use the Invoice Details and Profit Margin report.
