This article explains how to export supplier data from Qoyod to an Excel file that includes each supplier’s balance and their additional fields, where the new columns sit in the file, and how filters affect what the file contains.
What is this, and when do you need it?
The supplier export file now includes each supplier’s balance and the additional fields set up for each supplier, alongside the columns the file already had. You need it when you want to:
- Prepare supplier reports outside the system without adding each supplier’s balance by hand.
- Get a file ready for external financial reconciliations with suppliers.
- Bring the extra details you track for each supplier into one file together with their balance.
See the update announcement for what was added.
Path in Qoyod
Purchases › Suppliers › Export
Steps to export supplier data
- Open Purchases, then Suppliers.
- Apply the filters you need if you want to export only some suppliers, or leave the list unfiltered to export all of them.
- Click the export icon to create an Excel file.
- Open the file. The new columns, the supplier balance and the additional fields, are at the end, after the existing columns.
What the file contains
- Existing columns: all of them stay exactly as they are.
- Supplier balance: a new column added at the end of the file, showing each supplier’s balance.
- Additional fields: new columns added at the end of the file, showing the additional fields set up for each supplier.
Special cases
If filters are active
The export applies the filters that are active when the file is created, so the file only includes the suppliers that match those filters. If a supplier is missing from the file, check the filters at the top of the Suppliers page, click Reset to clear them, then export the file again.
If you have no additional fields for suppliers
Additional fields are created from Settings, then Additional Fields, by choosing Suppliers as the service type. For more on using them, see searching customers or suppliers by custom fields.
Notes
- The order of the existing columns does not change. The new columns are only added at the end of the file.
- To review a single supplier’s transactions and balances over a set period, use the customer / supplier statement report.
- If you run into a problem with supplier files, see troubleshooting customer and supplier data import and export.
