How to Transfer Assets in Qoyod: Moving Between Locations, Projects, and Employees

Instructions on the concept of asset transfer operations and how to implement them using the “Asset Transfer” feature to track assets based on location, project, or employee.

Asset Transfer Concept:

The Asset Transfer feature enables transferring the registered asset according to a specific date with the ability to track the asset after transfer. The process includes:

• Asset Transfer Between Locations: Changing the asset location from one location to another.
• Asset Transfer Between Projects: Converting the asset link from one project to another.
• Transferring Custody Between Employees: Transferring asset responsibility from one employee to another.

Asset Transfer Steps:

1. Accessing Fixed Assets:
   • From the dropdown menu, select Fixed Assets.
2. Selecting Asset Transfer:
   • Click on Asset Transfer, then New Asset Transfer +.
3. Filling Transfer Data:
   • Transfer Date: Specify the date of operation execution.
   • Asset Classification: Choose all assets or a specific class.
   • Asset Name: Choose all assets associated with the class or a specific asset.
   • Transfer Source: Specify the transfer type (location, project, employee).
   • Transfer Type:
     • Batch Transfer: Transfer a batch of assets at once.
     • Individual Transfer: Transfer each asset individually.

Transfer Options:

• Batch Transfer:
  • Choose the current and new location, then add assets.
• Individual Transfer:
  • Specify each asset with the new source individually.
  • Save the operation or save as draft.

1. After Saving:
   • Transfer data will appear such as transfer date, transfer source, transfer type, and status.

Available Options:

• View Details.
• Download PDF Report.
• Delete the Operation.

Setting Asset as Custody to an Employee:

You can set an asset as custody to any employee by following these steps:

1. From the dropdown menu, go to Fixed Assets.
2. Click on the Fixed Assets option.
3. Asset classifications and asset list will appear to you. Click on the required asset name, and a list of active assets will appear next to it.
4. Then click on Edit next to the required active asset.
5. Click on “Additional Information” from the top options, and the Employee Custody option will appear to you.
6. Choose the employee from the dropdown menu.
