How to Display Payment Method, Amount Paid, and Invoice Timestamps in Document Design and Show Original Invoice References in Credit and Debit Notes

Here is an explanation of how to add payment method and amount paid to appear when printing an invoice or document, as well as how to select smaller fonts in invoice and commercial document designs, and how to add the invoice creation date and time to appear when printing, as well as how to add the date and time of printing/downloading the invoice, and how to add the original invoice reference to the debit/credit note

Accessing the Document Designer

  1. Go to Settings, then General Settings, then select the required document settings (Invoice / Credit Note / Debit Note) from the top options.

  2. Open the Document Designer from the bottom of the page.

  3. Use the toolbar and insertion options within the designer to include the required data in the design.


1) Adding Payment Method and Amount Paid in the Same Line

You can display:

  • Payment Method

  • Amount Paid

within the same line of items in the invoice or receipt, by hovering over the location where you want to display them, then clicking the (…) button next to the toolbar, then selecting “Document Details” and choosing “Payment Method,” and then on the same line across from the payment method, hover again and go to “Document Details” and add “Amount Paid” so both codes are aligned on the same line

Benefits:

  • It clarifies to the customer how payment was made and how much was paid directly.

  • It makes reading the document faster and easier during review as the payment receipt number, payment account, and payment amount are displayed


2) Selecting Smaller Font Sizes in the Design

The designer supports using smaller font sizes by selecting the font by clicking “Format” in the toolbar and then selecting “Font Size,” which includes:

  • Size 8

  • Size 10

  • Size 12

  • Size 14

  • Size 18

  • Size 24

  • Size 36

This is used when:

  • You need to display many details in limited space.

  • Printing documents on small papers.

  • There are many items within the document.

Smaller font sizes give you finer control over formatting without overlapping or blurring data.


3) Adding the Invoice Creation Date and Time from the Site

You can include:

  • Document Creation Date

  • Document Creation Time

within the invoice or receipt design by hovering over the location where you want to display the document creation date or time, then clicking the “…” button next to the toolbar, then selecting “Date and Time” and choosing the date or time.

Benefits:

  • Accurate tracking of document issuance time.

  • Important for official transactions and accounting documentation.


4) Adding the Invoice Printing or Download Date and Time on the Site

You can display:

  • The day/date when the document was printed

  • The time when the document was downloaded or printed

by hovering over the location where you want to display the document creation date or time, then clicking “Insert” from the top menu, and then selecting “Print Date/Time”

This is used for:

  • Internal invoicing

  • Financial review

  • Digital delivery records

  • Accounting evidence that requires proof of actual timing

This data adds transparency and a clear timeline that can be referenced when needed.

  • Regarding POS receipts: You can have the receipt print the print date from: Settings → General Settings → POS Settings → then enable the option “Display version number and print date on printed invoices“.


5) Adding the Original Invoice Reference to Credit Note or Debit Note

When designing a credit note or debit note, you can add:

  • Original Invoice Reference

to appear within the document by hovering over the location where you want to display the original invoice reference for the credit or debit note, then clicking the (…) button next to the toolbar, then selecting “Document Details” and then choosing “Original Invoice Reference”

Benefits:

  • Link the note to the invoice that was modified.

  • Clarify the reason for the note to the auditor or customer.

  • Easy distinction between notes and their originals.


Important Usage Notes

  • Displaying payment method and amount paid on the same line makes the document easier to read and reduces inquiries.

  • Small font sizes are suitable for crowded documents or compact designs.

  • Creation and printing dates and times add important temporal documentation for accounting and electronic invoicing.

  • The original invoice reference is necessary when dealing with credit and debit notes to accurately track the reason.
