Archiving Products While Preserving Related Transactions: Steps to Archive, Reactivate, and Manage Previous Invoices

Instructions for archiving unwanted products while preserving associated transactions.

Answer:

You can archive products that you don’t want to display. When you archive a product, it is hidden from the active Products and Costs list and POS, but it remains registered in the system in the archive section of Products and Costs to preserve associated transactions.

Solution Steps:

  1. Access the Products and Costs Menu:

    • From the dropdown menu, select Products and Costs.
    • Select the product you want to archive.
  2. Perform Archiving:

    • Click the Archive option next to the product.
    • Once archived, the product becomes inactive and will not appear when creating invoices or in POS lists.

Additional Notes:

  • Archiving does not affect transactions associated with the product, such as previous invoices or inventory entries.
  • If a product has been archived and was previously used in sales or purchase invoices, you cannot return the invoice and an error message will appear indicating that the product is archived. To be able to return the invoice, you must reactivate the product by going to the Products and Costs menu. A list will appear next to product types named “Archive” — click on it and reactivate the product from the options next to the archived product.
  • You can reactivate the product if you need it later by unarchiving it. Go to Products and Costs, then click on Archive from the top menu, and click Reactivate.
