If you’re recording a purchase invoice and want to select an account from the chart of accounts (such as a maintenance expense or transportation expense) when adding a line item instead of selecting a product, do not use a standard purchase invoice. Use a simple purchase invoice.
When do I use a simple purchase invoice?
Use it when you don’t want to link the invoice to a product, but rather want to record an expense directly to an account from the chart of accounts.

Accessing Purchases

Select “Simple Purchase Invoices”

Adding a New Line Item

For each line item you can select the account directly from the chart of accounts (note that only expense accounts are displayed)

You don’t need to link the line item to a product

Completing the Invoice

Fill in the remaining data such as date, supplier, tax, and so on

Save the invoice after confirming

A standard purchase invoice relies on products or assets that have been added, and each product or asset is linked to a specific account in the chart of accounts.

A simple purchase invoice gives you the freedom to select the expense account directly from the chart of accounts.

Asset accounts do not appear in the simple invoice.
If you are purchasing an asset (such as equipment or a vehicle), you must use a standard purchase invoice, as the accounting entry will be transferred to the linked asset account.
