Understanding Customer Account Balances: What Credit and Debit Balances Mean

Clarification of why a customer account appears as negative—here is an explanation of the state of the customer’s debit and credit accounts in the accounting system.

  1. Debtor Customer (Positive):
    When a customer account is positive, this means the customer owes the company a certain amount.
    This occurs when a customer purchases goods or services and has not yet paid. The customer must pay this amount to the company.

    • Example:
      If customer “Ahmed” owes 1,000 SAR, this means Ahmed must pay 1,000 SAR to the company.
  2. Creditor Customer (Negative):
    When a customer account is a creditor, this means the company owes the customer a certain amount.
    This occurs when a customer pays more than what was required, such as:

    • Advance payment.

    • Overpayment.

    • Return of goods or sales returns.

    • Example:
      If customer “Muhammad” is a creditor with a negative amount of 500 SAR, this means the company must pay 500 SAR to Muhammad as a credit owed to him.

Additional Notes:

  • If a customer account appears as a creditor (negative), you should verify the existence of overpayments or sales returns that were not correctly deducted.
  • Creditor accounts can be handled through refunds or settlement of accounts according to the agreement with the customer.
