How to View and Track Product Movements: Inventory History, Location Identification, Report Export, and Troubleshooting Missing Quantities

You can view the movements of any product as follows:

  1. Enter the Products and Costs section.

  2. Click on View next to the product you want to view.

  3. Click on Location, and it will show you all the movements of the product.

  4. There are no direct filtering options, but you can export the report as Excel or PDF from the export option below the report.

What does the product movements report display?

This report displays the inventory movement record for a specific product during the period in which operations were performed on it, showing you when the quantity changed, what caused the change, and the impact of each movement on the inventory.

The report lists inventory-related movements in a table format, with each row representing a single operation that affected the available quantity.
Through it you can know:

  • Movement Date: When the operation occurred

  • Entry Type / Operation: What action caused the inventory change, such as sale, purchase, production, transfer, count, or other operations performed in the system

  • Reference: The number associated with the operation for easy tracking

  • Change: The amount of increase or decrease in quantity as a result of that movement

  • Average Value: The average unit cost at the time of the movement

  • Movement Value: The financial impact of the movement on the inventory

  • Available Quantity: The remaining balance of quantity after this movement is executed

How do we read the inventory movements report?

Each row in the report represents an independent inventory movement.
This means you can read the record in this sequence:

  1. An operation occurred on a specific date

  2. This operation was of a specific type

  3. It resulted in an increase or decrease in quantity

  4. Its financial impact was calculated

  5. After execution, the available quantity became the balance shown in the last column

This means the report doesn’t just show the current balance, but explains how the inventory reached this balance step by step.

What is the benefit of the inventory movements report?

This report is important because it helps you with several practical matters, including:

1) Track the reason for the quantity change

If you notice that the quantity has increased or decreased, the report shows you which operation caused this change and when it occurred.

2) Review the complete sequence of movements

You can use it as an audit record to track all operations that passed through the inventory, instead of relying only on the final balance.

3) Discover errors or unexpected movements

If an illogical decrease or increase appears in the inventory, the report helps you identify:

  • Is the reason a sale?

  • Purchase?

  • Count?

  • Production?

  • Transfer?

  • Or incorrect entry?

4) Understand the financial impact of each operation

The report not only shows the change in quantity, but also shows the movement value and average cost, which helps in understanding the accounting and inventory impact of each movement.

5) Know the balance after each movement

Instead of just seeing the current balance, you can know exactly what the quantity became after each operation, which is very important when investigating any inventory discrepancy.

How do we benefit from it practically?

The report can be utilized in the following cases:

  • When there is a difference between the expected quantity and the quantity in the system

  • When you want to know the reason for inventory decrease or increase

  • When reviewing operations that occurred during a specific day or period

  • When auditing errors resulting from sales, purchases, counts, or production

  • When ensuring that movements were executed in the correct sequence

  • When analyzing the impact of each movement on quantity and value

An important feature in the report

Since clicking on the entry type opens the operation details directly, the report is not limited to display only, but serves as a quick navigation point to verify the origin of the movement.
This is very helpful in review, because you can navigate from the movement line to the operation itself to know its complete details, such as entry data or associated documents.

Simplified Summary

This report is a detailed statement of inventory movements, showing you:

  • When the movement occurred

  • What its type is

  • How it affected the quantity

  • What its value is

  • And what the remaining balance is after it

Therefore, it is very suitable for tracking, review, discovering errors, and understanding the reason for inventory balance changes.

Important Notes:

  • If the product is not stored, the report will not show any movements.

  • If you entered product data (like quantity) and it didn’t appear in the inventory report, don’t worry. You can track the movements on the product through this method by clicking View next to the product and then clicking on the location name, to make sure if something went wrong with the entry such as:

    • Entering an unintended location

    • A sale or purchase operation that occurred after entering the quantity

    • You don’t have permission for the required location

    • Selecting an incorrect date for the operation

  • If you entered a product quantity and it didn’t appear in the inventory report, the reason is usually related to the entry, permissions, or operations that occurred after registration.

    Steps to Verify

    1. View product movements

      • Enter the Products and Costs section.

      • Click on View next to the required product.

      • It will show you the locations and available quantities, click on the required location name, and it will display all the product movements.

      • You can export the report as Excel or PDF from the export option below the report.

    2. Check for potential errors

      • An unintended location was entered.

      • A sale or purchase operation occurred after registering the quantity.

      • You don’t have permission for the required location.

      • Selecting an incorrect date for the operation.

    Important Notes

    • If the product is not stored, the movements report will not show any data.

    • Tracking movements in the Recent Transactions tab helps you confirm any data entry error.

    Keywords for inquiry

    • Materials whose data (quantity) was entered but don’t appear in the inventory report.
