Clarification on the ability to generate a customer or vendor statement linked to a specific project or location
You can now generate a statement for any account (customer or vendor) and filter the results to show only transactions linked to a specific customer and a specific project at the same time, by using the filter options within the Statement report.
The correct method to generate a customer or vendor statement for a specific project
To generate a customer (or vendor) statement linked to a specific project, follow these steps:
-
Go to Reports.
-
Select the Statement report.
-
Select the desired account:
-
Creditors (for vendor)
-
Debtors (for customer)
-
-
Select the time period.
-
From the Filter Type option:
-
Select Customers (or Vendors as applicable).
-
Select the customer or vendor name from the list next to the filter type.
-
-
Below the filter type option, you will find the Project option:
-
Select the desired project.
-
-
Click Search.
Result:
The report will display only the transactions that:
-
are reflected in the customer/vendor account
-
and are linked to the same specified project
What about branches (locations)?
-
Location (branch/warehouse) is mandatory in sales and purchase invoices.
-
When filtering the statement by:
-
customer + project
→ only transactions that are linked to both of these options together are displayed.
-
-
Transactions that:
-
are not linked to a project
-
or are linked to a different project
will not appear in the report.
-
-
Currently, you cannot view a customer or vendor statement at a specific location in the Statement report.
Important points to understand the filtering logic
-
You can select only one filter type (such as customers or vendors).
-
Project option works as an additional filter below the filter type.
-
The report displays transactions linked to both (customer + project).
-
If you select a filter type without specifying a value:
-
the report will appear empty.
-
Alternative solution if the required data does not appear
If you want to view customer invoices at a specific location (branch) only without needing an accounting statement:
-
Go to Sales Invoices.
-
Use the filter:
-
Customer name
-
Location name (branch)
-
-
All invoices for the customer at this location will appear.
-
You can export the results to Excel from the Export option at the top of the page.
Important notes
-
The Statement report displays:
-
Invoices
-
Vouchers
-
Accounting entries
-
Automatic entries
as long as they are reflected in the selected account.
-
-
The user only needs the Statement permission to view the report.
