This article explains the actions available on Sales Invoices after they are created: view, print, download PDF, collect a payment, duplicate, send, and delete. It also covers the correct way to edit an approved invoice.

Sales Invoices page
When you open “Invoices” from the Sales menu, the page includes:
- A chart at the top of the page classifying invoices by status (paid, overdue, draft, etc.).
- A search row to filter by date, status, customer, and more.
- The invoice list with columns for number, status, amount, and date.
Invoice statuses
- Partially paid.
- Paid.
- Approved.
- Overdue: set automatically once the due date passes.
Actions available on each invoice
- View: see the invoice details.
- Print: print the invoice.
- Download PDF: download the invoice as a PDF file.
- Collect payment: record a customer payment against the invoice.
- Duplicate: create a new invoice with the same details.
- Send: send the invoice to the customer via their registered email.
- Delete: delete the invoice. On deletion, quantities are returned to inventory.
Can an invoice be edited after approval?
An invoice cannot be edited directly after approval. To edit it, follow these steps:
- Click the “Duplicate” icon next to the original invoice to create a new invoice with all its details.
- The serial number of the original invoice is transferred to the new invoice.
- Edit the quantities or price on the new invoice.
- Before saving the new invoice: delete the vouchers related to the old invoice, then delete the old invoice itself.
- Save the new invoice.
- This procedure is necessary to preserve the integrity of the accounting record.
