This article explains how to archive unused products in Qoyod, restore them later, and the rules that govern archiving for products included in commercial documents.

Archive a product
- Open the “Products and Costs” list.
- Next to the product, click the “Archive” icon.
- The product is moved to the archive and disappears from the active product list.
Restore an archived product
- Open the “Products and Costs” list.
- Click “Archive” at the top of the product list.
- Next to the archived product, click “Restore”.
- The product returns to the active list.
Archiving rules for documents
Affected documents
- Sales Invoices.
- Purchase Invoices.
- Quotations.
- Purchase orders.
- Inventory counts.
- Inventory transfers.
- Manufacturing orders.
Archive eligibility
When you try to archive a product, the system checks its status across documents:
- Approved, paid, and draft documents: a product included in them can be archived (in Sales Invoices and Purchase Invoices, purchase orders, quotations, inventory transfers, inventory counts).
- Saving a draft document that contains an archived product: not allowed. The product must be restored first before saving the document.
Notes
- Archiving does not delete product data. All earlier documents linked to it remain saved.
- Restoring brings the product back for use in new Invoices with no impact on historical data.
