This article provides a comprehensive checklist for your business’s e-invoicing readiness in Qoyod, helping you avoid common mistakes before you start issuing.
Before you start: registration check
- Confirm that you are registered for VAT with the Zakat, Tax and Customs Authority (ZATCA).
- Check which wave your business belongs to if you fall under Phase 2, via ZATCA’s official notification.
- Register your business account on the Fatoora platform.
Core Qoyod settings
- General Settings: Make sure the full business name, VAT number, address, and contact number are entered.
- Logo: Upload your business logo so it appears on invoices.
- Currency and tax: Confirm Saudi Riyal is selected and “issue date” is set for tax calculation.
Customer data
- Verify the VAT number for every B2B customer matches ZATCA’s records.
- Set the customer’s status (active/inactive) to avoid searching through a large list.
- For government customers: enable “Government entity customer” and enter the contract ID when invoicing.
Invoice settings
- Numbering: The starting sequence number for invoices is set correctly.
- QR Code: Choose the appropriate QR code size.
- Template: Review the print template and confirm all required fields appear.
Phase 2: CCSI certificate
- Complete certificate generation via the Fatoora platform using the data Qoyod provides.
- Confirm the certificate is activated inside Qoyod.
- Test issuing a trial invoice and confirm it is accepted before starting actual issuance.
After you go live
- Monitor invoice statuses daily and address any rejections immediately.
- Review the warnings returned by ZATCA to improve future issuance.
- Make sure all B2C invoices are submitted within the 24-hour window.
- Keep backups of invoice records through periodic exports.
What Qoyod does not do
- Register the business on the Fatoora platform: the business does this itself.
- File the VAT return with ZATCA: Qoyod generates the data, but filing is done by the business via ZATCA’s platform.
- Pay the tax: this is done via SADAD or bank transfer by the business.
