How to Configure Quote Number Sequence

The system allows you to control the sequence numbering for quotations to start from a specific number and custom format, ensuring no duplicate numbers or impact on previous quotations.

This setting applies to quotations only and does not affect invoices or other documents.

First: Who can modify quotation numbering?

Quotation numbering settings can be modified by:

• Any user with General Settings permission

Second: Path to access the setting

Settings → General Settings → Quotation Settings from the top options

Third: Explanation of reference number components

The reference number for a quotation consists of two parts:

• Prefix:
  A symbol that represents the document type
  For example: QTE, INV, or any other text

• Sequence Number:
  The number from which quotation numbering starts (e.g., 500)

Example:

If you enter:

• Prefix: QTE

• Sequence Number: 500

The first reference number will be:
QTE 500
And numbering will continue automatically after that.

Fourth: Adjusting the reference number to start from a specific number

1. Go to Quotation Settings.

2. Enter:

   • Prefix: such as QTE

   • Sequence Number: such as 500

3. Click Save at the bottom of the page.

️ Changes are only applied after clicking Save.

Fifth: Impact of changes on previous quotations

• The change:

  • Does not affect previous quotations

  • Applies only to new quotations

• The reference number cannot be duplicated:

  • If you try to use a previously used number

  • An alert will appear:
    “Reference number already used”

Sixth: Ability to edit quotation numbering

What does this option mean?

• When disabled:

  • Quotations are numbered automatically

  • The user cannot edit manually

• When enabled:

  • The user can, while creating a quotation

  • Edit the reference number manually

️ Even with manual editing, the system prevents duplicate reference numbers.

Seventh: Important notes

• You can change the prefix (such as QTE) to any other text.

• Two quotations cannot be created with the same reference number.

• This setting applies to quotations only and does not affect invoices.

• Changes take effect immediately after saving.
