How to Extract Fixed Assets Report

You can extract fixed assets data in Qoyod in two ways, depending on the type of report you need and its purpose.


First: Fixed Assets Register Report

What is a Fixed Assets Register Report?

A comprehensive report that allows you to track and analyze all fixed assets registered in the system during a specific period, and displays:

  • Asset Cost

  • Depreciation

  • Additions and Disposals

  • Opening and Closing Book Values

It is suitable for financial reports, review, and audit.


Key Features of the Report

  • Detailed display of all fixed assets

  • Analysis by time period (from, to)

  • Automatic calculation of book value

  • Precise tracking of depreciation expense and accumulated depreciation

  • Classification of assets by type and useful life

  • Subtotals and grand totals

  • Supports Arabic and English


Who Can Use the Report?

  • Available only to Advanced Plan subscribers

  • Can be accessed by:

    • Super Admin user

    • Or any user with Fixed Assets permission


How to Access the Report

Reports → Fixed Assets Reports → Fixed Assets Register Report


Data Displayed in the Report

  • Asset Name

  • Asset Reference Number

  • Acquisition Date

  • Receipt Date

  • Addition / Disposal Date

  • Acquisition Cost

  • Cost:

    • Beginning of Period

    • Additions

    • Disposals

    • End of Period

  • Accumulated Depreciation:

    • Beginning of Period

    • Depreciation Expense

    • End of Period

  • Book Value at Beginning and End of Period


Important Notes

  • For an asset to appear in the report:

    • It must be added within the Fixed Assets module

    • And have an opening balance or an actual purchase transaction.

  • Export option is not available in the Fixed Assets Register Report and will be provided soon, God willing.


Second: Export Fixed Assets List (Excel)

This method is suitable if you need an Excel file containing all registered assets with their details.


Export Steps

  1. From the main menu, select Fixed Assets

  2. Go to Fixed Assets List

  3. Click Export at the top left of the screen

  4. An Excel file will be downloaded


Data Available in Excel File

  • Asset Reference Number

  • Asset Name

  • Asset Barcode

  • Asset Classification

  • Is the Asset Depreciable

  • Registered Asset Reference

  • Registered Asset Barcode

  • Purchase Date

  • Depreciation Start Date

  • Purchase Price

  • Accumulated Depreciation to Date

  • Book Value

  • Current Location

  • Current Project

  • Current Employee

  • Serial Number

  • Model Number

  • Notes


Important Notes

  • You can use filters within Excel to filter and analyze data according to your needs

  • This export displays the current data of assets and not a time-based analysis like the Fixed Assets Register Report


When Should I Use Each Method?

  • Fixed Assets Register Report
    → For financial analysis, depreciation, audit, and time periods

  • Export Fixed Assets (Excel)
    → For data review, inventory, or preparing reports outside the system
