How to Troubleshoot Missing or Disappeared Invoices
If you notice that some invoices are not visible or have disappeared from the invoices page, the cause is usually one of the following.
Common Causes
First: A filter is enabled on the invoices
This is the most common cause.

When using a filter (by date, status, customer…)

The filter remains enabled automatically
-
and is only disabled manually
The result: you see only specific invoices, and the rest disappear.
Second: No permission to access the location (branch)
If the invoice was created in a location (branch) that you don’t have permission to access:
-
The invoice will not appear in the invoices list
-
even if it exists in the system
Third: The invoice may have been deleted
-
Sales invoices can be deleted if e-invoicing is not enabled
-
and purchase invoices can be deleted
Solution Steps
Step 1: Remove the filter (Reset)

Go to Sales → Sales Invoices
-
At the top of the page (above the invoices list and below the filter options)
-
Click Reset
-
All invoices will be displayed without any filter
Step 2: Check location permissions

Go to Settings
-
Select Users
-
Click Edit next to the affected user
-
Verify:
-
The locations (branches) they have access to
-
-
Make sure:
-
The location where the invoice was created is enabled in their permissions
-
Step 3: Check if the invoice was deleted (if needed)
If permissions are correct and there’s no filter:
-
Go to Reports
-
Select User Activity Report
-
Look for:
-
invoice deletion operations
-
-
You’ll find a complete log of everything that has been deleted within the account
Important Notes

The system retains the last filter used
-
Not clicking Reset means some invoices will continue to be hidden
-
Permissions vary by user and location
-
The User Activity Report is the primary reference for knowing:

whether the invoice exists
-
or has been deleted
