Impact of Purchase Orders on Inventory and Accounts: Converting to Purchase Invoices

Answer:

  • Purchase orders have no direct impact on inventory or accounts.
  • When a purchase order is invoiced, a purchase invoice is created, which affects:
    • Inventory: The quantities received are added to inventory if the product status is set to stock.
    • Product expense account: If the product is not stocked.
    • Other accounts such as creditors account and value added tax.

Steps to convert a purchase order to a purchase invoice:

  1. To create a purchase invoice from a purchase order:
    • Go to the purchase orders page.
    • Click the “Convert to Invoice” option next to the purchase order.
  2. Complete the invoice details and save it.

Additional notes:

  • If the purchase order is not converted to an invoice, it will have no impact on any account or report.
