How to Add QR Codes to Sales Invoices and Troubleshoot Display Issues

Guidelines for adding a barcode to the invoice and troubleshooting the QR Code barcode not appearing on invoices after creation and printing.

• The QR Code is automatically added to approved invoices after enabling electronic invoicing.
• If the QR Code does not appear despite enabling electronic invoicing, the reason may be modifying the invoice template.

Solution Steps:

1. Make sure electronic invoicing is enabled by going to Settings and then General Settings and verify that the option “Enable electronic invoicing in accordance with Saudi regulations” is enabled

   then click “Save” at the bottom of the page.

2. Make sure that the invoice is a sales invoice or credit memo with status (approved or paid or partially paid), as QR Code does not appear on invoices with Draft status or pending approval and does not appear on other business documents such as: purchase invoices, debit memos, purchase orders, quotations, as per the authority requirements.

3. If electronic invoicing is enabled and the QR Code does not appear:
   • Go to: Settings > General Settings > Sales Invoice Settings.
   • Click on: Open Tax Invoice Designer.
   • Add a QR Code element from the Document Details menu.
4. Save the template changes, then preview the invoice again.

Additional Notes:

• Make sure to save the template correctly after adding the QR Code.
• After enabling electronic invoicing, the barcode will appear on all old and new sales invoices and credit memos.

• To change the position of the QR Code on the sales invoice, you can follow these steps:

  1. Go to Settings.
  2. Select General Settings.
  3. Go to Sales Invoice Settings.
  4. Click on “Open Tax Invoice Designer” which you will find at the bottom of the page.
  5. Click with the mouse on the location where you want the QR code to appear.
  6. Click on “…” next to the toolbar and then select “Document Details” and then select “QR code image” and the code “ %%qr_code%%” will be added
  7. Click “Save” from the options next to the designer.

  Please make sure to preview the invoice after saving to verify that the code appears in the correct location.
