Understanding the Sequential Number When Adding a New Product

The Serial Number is a unique “identification number” that we assign to the product when adding it to the accounting system, like an ID number for the product. Its purpose is to distinguish this product from any other product within the system even if the names are similar. It is a required field when creating the product. If you don’t have a ready code, click the Generate Serial Number button and the system will generate it automatically.

Why do we use the Serial Number?

  • Prevent confusion: If you have two products with the same name or very similar names, the serial number distinguishes between them.
  • Track the product easily: It helps to know the product movement: purchase, sale, return, inventory transfer, etc.
  • More accurate reports: It appears in reports and inventory and makes searching faster and clearer.
  • Data linking: It links the product to its price, unit, tax, inventory, and accounting entries without errors.

Simple Example

If you have a product named: “Sugar 1 kg” and each one is a different type
You may have more than one type. Instead of getting confused between them, we give each one a number like:

  • 100245
  • 100246
