You can control the permissions of each user using Position Management, where each user is linked to a specific position, and this position has dedicated permissions. Additionally, there are permissions linked to the user themselves and can be modified individually.
First: Managing User-Specific Permissions
To access and modify these permissions, go to Settings, then Users, then click Edit next to the desired user.
-
Sites:
-
You can grant the user access to specific sites only so they can add invoices, quotations, purchase orders, and perform other operations on them.
-
If the user does not have permission on a certain site, they will not be able to view any operations for that site.
-
-
Accounts Allowed for Payment and Receipt:
-
You can specify the accounts that the user can use for payment (disbursement) or receipt (collection), such as a personal cash box, a specific bank account, or a dedicated petty cash account.
-
If other payment accounts are not added to them, they will not appear in the accounts when creating vouchers and they will not be able to make payments or receipts on them.
-
-
Maximum Discount Rate:
-
You can specify the maximum discount rate that the user can add in invoices.
-
The user will not be able to add any discount exceeding this permitted rate.
-
Second: Managing Position-Specific Permissions
To access and modify these permissions, go to Settings, then Users, then click “Position Management” from the top options.
Position Management allows you to control permissions at the service or module level. For each service, you can define four types of permissions:
-
Read: This means the user’s ability to view/display the service or specified data.
-
Example: When enabling the “Read” option for sales invoices, the user can view sales invoices according to the sites assigned to them.
-
-
Create: This means the user’s ability to add/create the service, such as creating sales invoices or manual journal entries.
-
Delete: This means the user’s ability to remove/delete specified services.
-
Approval (Approval): This means the user’s ability to approve operations added by other users who do not have approval permission.
-
Example: If a user adds a sales invoice without “Approval” permission, the invoice will appear with a status of “Pending Approval”. The user with the position that has “Approval” permission can approve the invoice.
-
Important Note: When enabling Approval permission, the permissions for Read, Create, and Delete must be set automatically, and you can manually remove any of them except for Read and Create.
-

Important Note:
-
The primary user “super admin” has full permissions.
-
If the message “You do not have permission to access this page” appears, it means the user does not have permission on the page they are trying to access.
Approval permission is not linked to adding accounts in the chart of accounts or entering manual journal entries. A user who has the Create permission in the chart of accounts or manual journal entries can perform these tasks without needing approval permission. Approval permission is only linked to invoices.
