Change Accounting Documents Language to English in Qoyod

  1. You can change the language of any accounting document to English through the general settings in the system.
    However, before making changes, it is important to understand exactly what will happen so you don’t lose your previous design.


    First: Which documents can have their language changed?

    You can change the language of all the following documents:

    • Quotes

    • Sales Invoices

    • Simple Invoices

    • Purchase Invoices

    • Purchase Orders

    • Receipts (Receipt / Payment)

    • Credit Memos

    • Debit Memos

    • Manual Journal Entries

    Currently available languages: Arabic and English only.


    Steps to change the language

    1. Go to Settings

    2. Select General Settings

    3. From the top options, select Document Type (for example: Sales Invoices)

    4. Scroll down the page and click Open Designer

    5. From the designer options, select the English language

    6. Choose a ready-made template or start with a new design

    7. Click Save


    What happens when you change the language?

    1️⃣ The template changes automatically

    When you select the English language:

    • The system switches directly to a default English template

    • The current Arabic template is not converted

    • Any modifications you made to the previous template will be lost

    In clearer terms:
    Language change = new template + loss of previous modifications


    2️⃣ Impact of changes on previous documents

    ️ Very important:

    • When reprinting old documents after changing the template, they will appear with the new design

    • However, PDF files that were previously exported will not be affected, because they are saved outside the system


    3️⃣ You cannot save more than one template

    • The system supports only one template for each document type

    • You cannot save an Arabic template and an English template and switch between them

    • You cannot return to a previous template after changing it


    What gets translated when you select the English language?

    Automatically translated:

    • Field headers (for example: “Invoice Number” ← Invoice Number)

    • Table labels

    • General headings

    Not automatically translated:

    • Product name: appears as you entered it in the “Product Name in English” field when creating the product

    • Customer name: appears as you entered it in the designated customer name field

    • Account names: appear according to what you entered in the “Account Name in English” field when creating the account

    • Currency: appears as a symbol only (for example: $, ﷼) and not as a text name

    Tip: Make sure you entered the data in English previously if you want to print it in English.


    Can you create a document in two languages at once?

    The system does not officially support issuing a document in two languages.

    Alternative solution:
    For example, choose the Arabic language and write the English translation manually next to each field, such as:
    Product Name | Product Name


    Can you start with a blank design?

    Yes. You can choose not to select any ready-made template and start with a completely blank design according to your preference.


    Can you return to the original template?

    There is no direct button to restore the default template.
    But you can:

    1. Change the template to another template

    2. Then go back and select the default template again

    3. And it will be loaded without any modifications


    Can you restore the last design?

    You can use the option: File ← Restore last draft

    But only during the same design session.
    After exiting the designer or changing the template, you will not be able to restore the previous design.


    Customization after changing the language

    Yes, you can modify the template after selecting the English language (change colors, add a logo, arrange fields, etc.).


    Branches

    • The design is at the entity level and applies to all branches

    • You cannot customize the design or language differently for each branch


    Report language

    • The language of reports is affected by the system language (Arabic or English) and not by the language of documents

    • When using the English language, account names will appear in English provided you enter them in the “Account Name in English” field when creating the account


    What about e-invoicing and ZATCA?

    Changing the language does not affect:

    • QR code

    • Mandatory fields

    • Zakat and Tax Authority requirements

    All system requirements remain the same.


    Access permissions

    To access the document designer, the user must have permission to access general settings.

    Permission can be granted through:

    Settings ← Users ← Manage Roles ← Edit Role ← Enable General Settings Permission ← Save


    ️ Important tip before changing the language

    If you want to try a different template or language (for example: issue a specific invoice in a certain language) and then return to your current design:

    1. Go to the designer

    2. Press Ctrl + A to select the entire design

    3. Press Ctrl + C to copy it

    4. Change the template or language, save and issue the document

    5. To return: enter the designer and paste the old design with Ctrl + V

    6. Click Save

    This way you avoid losing your design.
