Why the Archive Option Isn’t Available for Some Accounts in the Chart of Accounts and How to Handle Linked and Sub-Accounts

Guidelines on why the archiving option is not available for some accounts in the chart of accounts.

Answer:

Some accounts don’t show an archiving option because they are linked to other accounts or data in the system.

Possible Reasons:

  1. The account is linked to assets, products, or a tax type, which prevents it from being archived.

  2. The account is a parent account and has sub-accounts. The parent account can only be archived after deleting or transferring all sub-accounts.

Additional Notes:

  • Make sure there are no links before attempting to archive the account.

  • You can archive the account even if it has old transactions.

  • You cannot archive multiple accounts at once; you must archive each account individually.

  • If the account name indicates it’s linked to taxes (for example: accrued taxes, VAT, or any account under group 2106), the reason is usually that the account is linked to tax settings in the system. Direct the customer to: Settings > Taxes > verify accounts linked to VAT, and unlink them from there before attempting to archive or delete.
