How to Track and Export Product Activities by Site and Date with Filtering and Sorting

What is the Inventory Movements Report?

The Inventory Movements Report is a detailed report that shows you every movement that entered or exited a specific location (warehouse) during any time period you specify. Through it, you can know when quantities entered the warehouse, when they exited, and from which document these movements came.


How do you access the Inventory Movements Report?

First Step: From the sidebar menu, click on Products and Costs, then select Locations.

Second Step: A list will appear showing all the locations (warehouses) added to your system. Find the location whose movements you want to view and click View next to it.

Third Step: After entering the location, you will find a section called Inventory Movements that displays all the movements that occurred on this location for all products, sorted by date.


What do the report columns mean?

Date Column: The date when the movement occurred in the inventory.

Product Column: The name of the product affected by the movement. If you click on the product name directly, the system will automatically take you to that product’s details page.

Reference Column: The document that caused this movement, such as a sales invoice number or purchase invoice number. If you click on the reference name directly, the system will automatically take you to that original document’s details, making it easy for you to verify any movement and trace it back to its source with one click.

Quantity Column: The quantity affected by the movement. Here’s an important point:

  • Positive Quantity (+): Means this movement added quantity to inventory, such as a purchase invoice or a customer return
  • Negative Quantity (-): Means this movement reduced quantity from inventory, such as a sales invoice or inventory transfer outside the location. Note that the system does not allow negative sales, meaning inventory cannot drop below zero.

Average Value Column: Shows the average cost per unit of the product at the moment this movement occurred. Qoyod calculates product costs using the Average Cost method, which is based on dividing the total cost of all available quantities by the total number of units.

You can view the average cost of any product through Products and CostsView Product, where the average is displayed separately for each location, or through ReportsProduct Cost and Margin Report.

Movement Value Column: The total financial value of this movement, which is the result of multiplying the quantity by the average cost. As with the Quantity column, a negative value means a decrease in inventory value and a positive value means an increase.


What are the sources of movements shown in the report?

The report collects all operations that affected the inventory from various sources, which are:

  • Purchase Invoices: When purchasing products and adding them to the warehouse
  • Sales Invoices: When selling products and removing them from the warehouse
  • Credit and Debit Notes: Sales or purchase returns
  • Inventory Count: Quantity adjustments after physical count
  • Inventory Reclassification: Changing product classification within the location
  • Inventory Transfer: Moving quantities from one location to another
  • Manufacturing Orders: Consumption of raw materials and addition of assembled products
  • Manual Entries: Such as opening balances for inventory when starting the system

How do you use filtering and search tools?

Filter by Product: At the top of the report, you will find a search field called Product. You can type the name of the product whose movements you want to track separately. You can also select multiple products at the same time if you want to compare movements of several products together.

Filter by Date Range: Specify the start date in the From field and the end date in the To field to get movements only within the period you want. Make sure to enter the dates accurately to get correct results.

Sort by Date or Quantity: You can sort the results with one click using the arrows next to the column name:

  • Click the arrows next to Date to sort from newest to oldest or vice versa
  • Click the arrows next to Quantity to sort from highest to lowest or vice versa

How do you export the report?

After applying the filter you want, click the Export icon at the top of the report. The system will send an Excel file to the email address associated with your Qoyod account, and the file will include all movements according to the filter you specified only.
