How to Move an Account in the Chart of Accounts and Why Accounts Can’t Be Transferred Between Account Types

How to Move an Account Within the Chart of Accounts

You can move any sub-account within the Chart of Accounts to a different parent account with ease, as long as the transfer is within the same accounting classification.


Steps to Move an Account

1) Access the Chart of Accounts

  • From the sidebar menu, select:
    Accounting → Chart of Accounts


2) Select the Account to Be Moved

  • Search for the account you want to move

  • Click on the Move icon next to the account name


3) Select the New Parent Account

  • Choose the parent account under which you want to add the account


4) Select Account Type

  • This step appears only if the account is from:

    • First level

    • Second level

    • Third level


5) Confirm the Transfer

  • Click Continue

  • The account will be moved immediately

  • The account will now appear under the new parent account


Very Important Notes

Allowed:

  • Moving an account even if it has balances

  • Moving an account even if it is linked to existing transactions


Not Allowed:

  • You cannot move any account from or to the five main primary accounts in the chart of accounts, which are:
    Assets, Liabilities, Equity, Revenue, and Expenses.

    These accounts represent the basic accounting classification in the system, and any change in their position or moving an account between them causes a direct disruption to:

    • Account classification

    • Financial statements (balance sheet and income statement)

    • Accuracy of reports and accounting totals

    Therefore:

    • You cannot move an assets account to liabilities

    • Nor move revenue to expenses

    • Nor the reverse

    Transfer is only allowed within the same accounting classification (for example: an assets account under another assets account).

    Summary that should reach the customer:
    The restriction is not a technical limitation, but rather a necessary accounting procedure to protect the accuracy of financial statements and prevent material errors in reports.


What Should I Do If an Account Was Added Under the Wrong Classification?

Example:

  • An account incorrectly added under Assets

  • But it should be under Liabilities

The Correct Solution:

  1. Create a new account under the correct parent account

  2. Go to the recorded transactions on the incorrect account

  3. Edit the transactions and link them to the correct account

  4. After verification:

    • Delete the incorrect account

    • Or archive it
