When to Use This Guide
Apply this guide whenever a customer asks about:
- Where to record electricity, water, phone, or internet invoices.
- Where to find the electricity expense account (or any of these invoices) in the chart of accounts.
- Whether there is a ready-made account for electricity and service invoices or if they need to create one.
The Basic Rule
In Qoyod’s default chart of accounts guide, there is a ready-made account designated for water, electricity, phone, and internet invoices named:
5210 – Office Service Expenses (under Expenses).
The customer can:
- Use it directly for all these invoices without creating a new account.
- Or, if they want to separate them (for example, a separate account for electricity only, or for internet only), they can add a new sub-account under Expenses from the chart of accounts.
Sample Response
“The account is ready in the default guide under the name 5210 – Office Service Expenses, and it is designated for electricity, water, phone, and internet invoices. You can use it directly, and if you want to separate electricity (or any invoice) into a separate account, you can add a new sub-account under Expenses from the chart of accounts.”
Important Notes
- The account exists by default in every new Qoyod account, unless the customer has deleted or archived it. In that case, direct them to unarchive it from the accounts archive, or create a new sub-account.
- The same applies to water, phone, and internet invoices—they all use the same 5210 account by default.
