Why Reports Are Sent to Email and How to Handle Export Problems

How do report exports work in Qoyod?

When exporting any report (account statement, income statement, trial balance, balance sheet, etc.) in PDF or Excel format using the export icon below the report, the report is sent to the email address registered in the system.

Exception: Small reports may be downloaded directly to the device without email. This is normal and not a glitch.

Why send via email?

  1. Protecting data from unauthorized access

  2. Reducing download issues with large files

  3. Ensuring the report reaches the account owner safely and directly

Can direct download be restored?

No. This is a security decision from the development team. Feedback has been recorded by the responsible team and customers don’t need to submit a new request.

Report didn’t arrive in email

  1. Check the spam/junk folder

  2. Ensure your email inbox has enough space for new messages

  3. Verify that the email registered in Qoyod is the same one you’re checking

  4. Standard reports arrive within 1-5 minutes; large reports may take 10-15 minutes

  5. If the report hasn’t arrived after 15 minutes + spam check + sufficient space confirmed: collect the business data (business name, number, report name, period, PDF/Excel format) and escalate to technical support

Message “The document is already being processed, please wait”

This appears when there’s an incomplete previous export process or when the system is under load.

  1. Wait 5-10 minutes without retrying the export multiple times

  2. Refresh the page, then search again and export

  3. If the message persists for more than 30 minutes: collect the business data (business name, number, report name, period, format) and escalate to technical support to investigate the stuck export

Sending the report to a second email

Direct the customer to add the email as a new user in the system, or to download the file from the email link and send it manually.

When to escalate to staff

Only in these cases:

  • Report didn’t arrive after 15 minutes and spam check and space verification completed

  • “Document is being processed” message persists for more than 30 minutes

  • Customer explicitly requested staff assistance after explanation

In all other cases: clarify the current situation and provide alternatives without escalating.
