How to Extract Account Statement Reports: Filtering by Period and Project, and Why Email Delivery Is Used Instead of Direct Download

  • Here is an explanation of how to extract a statement report for any account in the chart of accounts. You can view a statement for any account through reports easily.

    Steps

    1. Go to ‘Reports’

      • From the sidebar menu

    2. Select ‘Statement Report’

    3. In the ‘Account Name’ field

      • Type the account name or number directly

      • The system will display it automatically for you

    4. Select the time period

      • From date to date

    5. Select the filter or project (if available)

    6. Click ‘Search’

      • The statement will appear in detail for you

    Export Method

    • Below the report you will find an ‘Export’ button

    • Select PDF or Excel, and you can track the export status from the ‘Report History’ page within the Reports menu

    Important Notes

    • Make sure you have access permission to the report

    • If the report doesn’t appear, check user permissions from settings. If you see the message ‘The document is currently being processed, please wait’: open the ‘Report History’ page by going to Reports and then ‘Report History’ and check the status of the pending report. Wait 5-10 minutes without retrying, then refresh the page, click search, and export again. If the message persists for more than 30 minutes, contact support.

    • When exporting a statement report as PDF or Excel, the report is sent to the email address registered in the system. Small-sized reports may be downloaded directly to your device without email, which is normal and not an error. You can track the report status and download it directly from the ‘Report History’ page within the Reports menu. If the report doesn’t arrive in your email: first check the Report History page to see the status, then check your spam/junk folder, and make sure you have sufficient email space and that the email registered in Qoyod is the same. Regular reports arrive within 1-5 minutes, and larger ones may take 10-15 minutes. If it doesn’t arrive after 15 minutes following all checks, contact support.

    • The statement is sent to the user’s email, and if you want to send it to another email, here are two solutions:

      1. Add the other email as a new user in the system and log in through this user to request the statement
      2. You can download the statement from the primary email and send it manually to any other email (such as your own email).
