How to Extract Detailed Product Operations and Track Product Movements (Sales, Purchases, Inventory, Transfers) Using System Reports

Here is an explanation of how to extract products and details of transactions that occurred during a specific period so you can review all products that had transactions during the last two years or any period you choose, whether sales, purchases, sales returns, purchase returns, or average prices.
The system provides you with more than one report and two main ways to get the details:

1. Comprehensive report for the period

2. Detailed record for each product individually

Steps to extract products by transactions (a comprehensive method that shows sales, purchases, and returns movements for the period)

Navigate to the report

1. Open the main menu.

2. Go to Reports.

3. Select Sales and Purchases Summary.

Specify the required data

After opening the report:

• Select the period from date to date (last two years or any period you want).

• Choose the location:

  • Specific location

  • or All locations

• Choose the party:

  • Specific customer

  • or All customers and suppliers

• Specify the type of transaction required:

  • Sales

  • Purchases

  • Sales and purchases together

• If you have non-inventory products and want them to appear in the results:
  Enable the option Show non-inventory products.

Display and export results

1. Click Search to display all products that had transactions during the period.

2. You will see:

   • Number of transactions

   • Average purchase price

   • Average selling price

   • Sales quantity

   • Purchase quantity

   • Net movement for each product

3. You can export the report in the format:

   • Excel

   • PDF

4. The “Sales and Purchases Summary” report does not show inventory transfer operations, inventory counts, or opening balances, but rather shows the sales and purchases movements that occurred for each product.

How to access the details

1. Go to Products and Costs.

2. Click View next to the desired product.

3. Depending on the product type:

If the product is inventory and has quantities:

• A list of all locations where the product is registered will appear. To show you all movements that occurred on the product, click on the location name.

• A list of all detailed transactions will appear, including:

  • Sales invoices

  • Purchase invoices

  • Sales returns

  • Purchase returns

  • Inventory count

  • Inventory transfer

  • Opening balances

  • Inventory adjustments

• Each transaction is detailed as follows:

  • Transaction number

  • Date

  • Type

  • Incoming quantity

  • Outgoing quantity

  • Balance after transaction

  • Price used in the transaction

If the product is inventory without quantities or non-inventory:

• Movements appear directly below the page without a locations list.

Product Locations Report (to know the quantity on a specific date)

This report is useful if you want to see the product quantity on a specific date only.

• The report does not support a “from, to” period.

• It gives you the quantity as it was on a specific date you choose.

• It helps you know today’s inventory, end of month, or compare specific periods.
