When to use this guide: A customer asks why a user with permissions on one location can see data for all locations in financial reports, or requests automatic report filtering by location.
Normal System Behavior
Consolidated financial reports in Qoyod (Trial Balance, Income Statement, Balance Sheet) display complete company data by default, even if the user’s permissions are limited to a single location. This is intentional behavior, not a defect.
The Difference Between Transaction Permissions and Report Permissions
-
Transactions (invoices, vouchers, journal entries): are automatically restricted to the user’s location—they can only view and edit transactions from their location.
-
Consolidated financial reports: display the complete company picture with the ability to filter manually by location.
How the User Filters the Report by Location
Reports > Trial Balance > Filter type: ‘Branches and Warehouse’ or ‘Locations’ > Select the desired location > Search.
If the Customer Requests Automatic Report Restriction by Location
Clarify that this option is not currently available in the system. The available alternative is manual filtering from the report page, or removing the report from the user’s permissions so it doesn’t appear to them.
