A free, editable template. Download it and use it directly in your business.

Customer balance reconciliation is not a routine task or a passing request, it is a top-tier control tool and the key to accounting accuracy in your business. It is the document you use to check that every halala recorded in your books has a matching entry in your customer’s books, so differences surface early and get resolved before they build up.

Why do you need this template?

  • Solid accounting structure: the template lets you restructure outstanding balances and settle them as they arise, keeping your aging report clean and preventing the buildup of doubtful amounts.
  • Consistent sales and VAT: you compare the sales and VAT you recorded against the customer with what the customer confirms in their own books, so you can find and fix any difference before the period closes.
  • Start from recorded activity: when used with Qoyod, the invoices and receipts you record appear in the customer’s statement of account, so reconciliation starts from your recorded transactions instead of a manual compilation.
  • Confident period close: it ends disputes over missing invoices or contested amounts, allowing the finance manager to issue the balance sheet with confidence in the AR line.

Elements of the balance reconciliation template

Because accuracy lives in the details, the template must be designed as a complete document, not just a spreadsheet:

1. Identifying information (document identity):

  • Archival serial number: to make it easy to reference the reconciliation in later fiscal years and track the chain of approvals.
  • Cut-off date: the date at which the accounts were stopped for reconciliation purposes, which is critical to exclude subsequent transactions.

2. Party and contract details:

  • Customer ID: to ensure the reconciliation is posted to the correct account in the chart of accounts and to prevent mix-ups between customers with similar names.
  • Tax number and address: to document the official status of the entity and facilitate legal correspondence.

3. Balance details table (the beating heart):

  • Transaction description (invoice, payment, return): detailing the type of each movement to make review easier for the other party.
  • Opening balance and movements: to show how the closing balance was built step by step.

4. Summary and approval:

  • Amount in words: a necessary security measure to prevent any tampering or alteration of the figures after signature.
  • Approval section: a dedicated space for the customer’s signature and stamp (approved, approved with reservation, or not approved) so the reply is documented.

Template usage guide

1. Extract the statement of account

Instead of spending hours manually gathering invoices and payments from multiple ledgers, Qoyod lets you pull the full customer statement of account from Reports: choose the statement of account report, then the receivables account, the customer and the period. The statement lists every transaction that affected the customer’s account (invoices, receipts and journal entries) with its date, type, reference, debit, credit and running balance.

2. Send the reconciliation request

Export the statement of account from Qoyod as PDF or Excel; the file is sent to the email address registered in the system (small reports may download straight to your device). Then send it to the customer by whatever channel suits you, such as email or WhatsApp, together with the reconciliation form for them to sign and return, and note the date you sent it so you can follow up.

3. Handle differences

If the customer finds a difference, ask them to identify the invoice or payment in question and send a copy of their document, then compare it with the invoice or receipt in your books. If the error is on your side, record the entry or document that corrects it and send the updated statement for confirmation again.

Who benefits from the customer balance reconciliation template?

  • Business owners: to get a true view of how much liquidity is tied up with customers and to safeguard the company’s rights.
  • Accountants: to ease the pressure during year-end close and ensure the trial balance is in balance.
  • Collections team: a signed acknowledgement of the balance makes it easier to follow up late payers and documents the receivable.
  • Auditors and reviewers: one of the pieces of evidence for verifying the receivables balance on the balance sheet.

Tip:

While Excel templates give you a decent starting point, they remain exposed to loss or accidental edits. In Qoyod your data is kept in the cloud, and the customer’s statement of account is drawn from the same recorded transactions, so you do not re-enter them in a separate spreadsheet.

Frequently Asked Questions (FAQ)

What is the main purpose of running customer balance reconciliation periodically?

To confirm that the amounts recorded in the company’s books match the customer’s books, reducing financial disputes and supporting accurate balance sheet figures.

Does balance reconciliation help on the tax side?

It helps you check that the sales and VAT recorded against the customer match the customer’s books, so differences are dealt with before the period closes. It does not replace reviewing your VAT returns and their supporting documents.

Why is the cut-off date important in the reconciliation template?

It sets the date at which accounting movements are stopped for review, preventing overlap between older transactions and later operations that could distort the balance.

How does Qoyod help with customer balance reconciliation?

Qoyod produces the customer’s statement of account from Reports and exports it as PDF or Excel to your registered email, so you can forward it to the customer instead of compiling invoices and payments by hand in Excel.
