POS User Management from Inside Settings

Until now, adding a new cashier or changing their permissions meant leaving the POS and going to the Qoyod platform. All of that is now available directly from POS settings.

We launched user management inside the POS system, so account owners and branch managers can add POS users and edit their details and permissions without leaving. The feature works both on POS in the browser and on the POS app, under the same rules on both sides.

Every user added here is a user in the same Qoyod account, flagged as a POS user. There is no separate user list and no duplicated data, and any addition or edit is reflected on the account immediately.

Who can reach user management

The user management section appears in POS settings only for users who hold the manage-users permission, and is hidden entirely from those who do not. Hiding the section from the interface is not the whole story: reaching it through a direct link or from inside the app is rejected too, because the permission is enforced at the service level, not just at the screen level.

The user list

The list shows active POS users with first name, last name, email, mobile number, role, last login, and two-factor authentication status. View, edit, and delete actions sit on each row.

You can search by name or email and filter by role, with the results paginated. A user who has never logged in shows a clear label instead of a date.

Adding and editing a user

A user is added from a single form that covers personal details, permissions, and operational settings: first name, last name, mobile number, email, then role, then branch, the payment methods available to them at checkout, the maximum discount percentage they can grant, plus any custom fields defined at user level.

The mobile number follows Saudi number formatting, the email must be valid and not already used in the account, and the discount percentage falls between 0 and 100 with two decimal places. The same form is used for editing, and email is the only field that cannot be changed after creation.

Role and permissions

The role is picked from the roles already in the account, and a new role can be created while adding the user without leaving the form. Role permissions are set through clear options: create customers, manage credit notes, manage users, instant invoicing, edit tax and unit price, allow deferred payment, and settings. A role can be saved with no permissions selected, which grants basic selling rights.

Available user count

The number of POS users is tied to the count subscribed to in the organization’s POS add-on. Once that count is used up, the add-user button appears disabled with a message explaining why and suggesting either a subscription upgrade or deleting another user. The administrator sees the limit before starting data entry, not after. Unlimited subscriptions show no restriction at all.

User management requires an internet connection

Adding and editing users on the app requires an internet connection, because it touches account data and permissions directly. If the connection drops at the moment of saving, a clear message asks to reconnect and the entered data stays in the form. Selling itself continues to work offline as usual.
