Watch Shop Accounting Software in Jordan

From the deposit to collecting the watch: a receipt that waits for the invoice, and the watch’s number in the line description.

A customer reserves a watch with a deposit, then collects it and the shop shortens the strap, so one invoice carries the watch and the service together.

Watch Shop Accounting Software in Jordan starts with the receipt you record for the deposit on a watch a customer ordered from the distributor. In Amman, Irbid or Zarqa, that receipt stays unused until the watch arrives; then you issue a sales invoice for it and a strap-shortening service, and write its serial number in the description field. You then allocate the deposit receipt to the invoice and record the rest with a second receipt, so the invoice shows as Paid.

1. From the display counter to the books: where do a watch shop’s numbers go missing?

Before you choose accounting software for a watch shop in Jordan, look at one month in your shop: numbers of watches sold that live only in a notebook, deposits on scraps of paper, battery changes that never reach an invoice, and shipments at different prices so you cannot tell what a piece cost.

A notebook of serial numbers

The salesperson writes the number of every watch sold in a separate notebook, and when a customer asks about their watch later, time is lost among the pages.

With Qoyod: write the watch’s number in the description field beside its name on the invoice line, and it shows in the invoice preview and the PDF copy.

Deposits on scraps of paper

A customer leaves a deposit on a watch that has not arrived, the slip goes in the drawer, and nobody knows which invoice the amount belongs to.

With Qoyod: record the deposit with a receipt in the customer’s name and no invoice, then allocate it to their invoice when they collect the watch.

A battery with no invoice

A battery change or a strap adjustment takes minutes, the customer pays the fee in cash, and it leaves no trace in the accounts.

With Qoyod: define this work as services with default selling prices, and add them to a sales invoice of their own or next to the watch.

Shipments at different prices

The same watch arrives from the distributor at one price this time and another the next, so you cannot tell what the piece on the display counter cost.

With Qoyod: enter the shipments with purchase invoices on a stored item, and the product cost and margin report shows its average unit cost.

2. One watch in your books: from the deposit to the end of the month

One watch order passes through five stops, and each stop has a line on the journey card.

Stop 1: The customer leaves a deposit on a watch they ordered

In Customer receipts create a customer receipt in their name for the deposit, with no invoice, and it stays unused until you allocate it.

Stop 2: The watch arrives from the distributor

Record the purchase invoice in the supplier’s name for two watches of the same item, so its quantity in stock rises and what you owe them shows.

Stop 3: The customer collects their watch

Issue a sales invoice for the watch and the strap-shortening service, write the watch’s number in the description field, then press Pay and choose Use a previous receipt to allocate the deposit.

Stop 4: The customer pays what is left

Record what is left with a receipt against the invoice, so it shows as Paid and both receipts become Used.

Stop 5: At the end of the month you review what the watch cost

Open the product cost and margin report, and the item’s available quantity and its average unit cost, worked out from purchase invoice prices, show.

3. Watch Shop Accounting Software in Jordan: what Qoyod covers in your shop

E-invoicing and accounting integrated in one system. Here are six jobs Qoyod covers in a watch shop, from each watch’s number to what it cost.

The description field for the watch’s number

Beside the watch’s name on a sales invoice line there is a description field where you write its serial number or its colour. It is optional, it can differ from one invoice to the next without changing the product, and it does not affect the price or the accounting entries. It shows in the invoice preview and the PDF copy, and on the printed copy when its template in the invoice designer carries the product description field.

The deposit receipt

Record the deposit with a customer receipt from Customer receipts and no invoice, and it stays unused. When you issue the watch’s invoice, press Pay beside it, choose Use a previous receipt and enter the amount to allocate, and the receipt becomes Used or Partially used. For where a receipt voucher stands next to the invoice in Jordan, read Receipt voucher vs invoice in Jordan.

Battery, strap and repair services

In Products and costs create a service for each job the shop does, such as battery replacement, strap shortening and watch repair, and set its default selling price and its revenue account. A service is neither stored nor purchased, and you change its price on the invoice if the job differs.

The cost of stored watches

Make the watch a stored item with a purchase price and a selling price, and enter its shipments with purchase invoices in the distributor’s name so its quantity in stock rises. The product cost and margin report shows, for each item, the available quantity and the average unit cost from purchase invoice prices.

A returned watch

Choose Return invoice on the watch’s own invoice, and a credit note is created with its details; then delete from it whatever did not come back. The customer’s balance falls by the value of the note, the original invoice is kept with “Returned” beside its status, and the watch goes back into stock if it is a stored item. For exchanges in the national system, read Exchange goods in JoFotara.

The customer’s price and discounts

Qoyod does not support a price list for each customer, so the price you agree with a regular customer goes into the unit price on the line. You can add a discount to the line as a percentage or an amount, and set each user’s maximum discount percentage in the settings.

Some of these capabilities are available depending on your subscription, such as stored items and purchase invoices, so ask sales about them.

What you follow

  • Deposits not yet allocated, in the Customer receipts list with the Unused status.
  • What each customer owes, in the customer statement report.

What your accountant reviews

  • Sales and purchase invoices, credit notes and receipts.
  • Income statement, balance sheet and trial balance.

7. Frequently asked questions

Do watch shops have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. More in our article on the JoFotara exemption

If a business does not have to e-invoice, does that mean it pays no sales tax?

Not in itself. An exemption of an activity from the invoicing rules, where one exists, does not in itself exempt it from General Sales Tax or income tax; each has its own law. Check your tax position with your accountant.

Does Qoyod keep a serial number for each single watch?

No. In Qoyod the serial number is a unique identifier of the product, set when you create it, not of each piece of it. Write the watch’s number in the description field beside its name on the sales invoice line, and it shows in the invoice preview and the PDF copy without affecting the price or the accounting entries.

How do I record a deposit on a watch that has not arrived yet?

Open Sales, then Customer receipts, press Create customer receipt, choose the customer, enter the deposit amount and save, and the receipt stays unused as long as it is not allocated to an invoice. When the watch arrives, issue its invoice, press Pay beside it, choose Use a previous receipt, then the deposit receipt, enter the amount and save.

How do I invoice a battery change or a watch repair?

Open Products and costs and press Create products and costs, choose Service as the product type, then enter its name, unit of measure, tax, default selling price and sales account, and save. You add the service to a sales invoice as you add any product, change its price there when needed, and it takes no quantity out of stock.

How do I take a watch a customer returned off their invoice?

Open Sales, then Sales invoices, press View beside the invoice, then Return invoice at the bottom of it, and a credit note is created with all its details. Delete the lines that did not come back, such as the strap-shortening service, and save the note. If the invoice is unpaid, press Allocate credit note and allocate it to the invoice; if it is paid, choose Refund.

That brings a watch shop’s numbers together in one place: each customer’s deposit, each watch’s invoice, and the fee for each service.
