The pool and its equipment on one invoice, and the deposit the owner paid before digging settles part of it.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, the construction is a service and the pump and filter are products on the same invoice.
Swimming Pool Accounting Software in Jordan puts on one invoice what the owner receives on handover day: the pool your company built, and the pump and filter the team fitted. In Amman, Irbid or Aqaba, the homeowner pays a deposit before digging starts and the rest when the pool is handed over. In Qoyod, add the construction as a “Service” product and the pump and filter as products, record the deposit as a receipt in the customer’s name, then issue the sales invoice and settle part of it with that receipt.
1. A swimming pool company in Jordan: where do the numbers get mixed up?
Before you choose accounting software for a swimming pool company in Jordan, follow one month of its work: deposits collected on site that never reach the books, supplier invoices for different pools in one folder, chlorine leaving the store with the maintenance crew while nobody records what is left, and monthly maintenance contracts with hotels and apartment buildings whose invoices run late.
A deposit collected on site
The homeowner hands the deposit to the supervisor before digging, and the money stays in the supervisor’s pocket or a receipt book until the accountant asks about it.
With Qoyod: make the deposit a receipt in the homeowner’s name, then use it to settle part of the pool invoice at handover.
Pools in one folder
You build more than one pool in the same month, so the invoices for tiles, pipes and equipment pile up together, and nobody knows what each pool cost.
With Qoyod: record each pool’s contract as a project and choose it on the sales and purchase invoices that belong to it, depending on your subscription.
Chlorine nobody counts
You buy chlorine containers and pool chemicals from the supplier, the maintenance crew takes some every week, and nobody writes down what is left in the store.
With Qoyod: keep chlorine as a stored item, so each purchase invoice adds to it and an inventory count brings it back to what is really in the store.
A late maintenance invoice
The month ends and the crew has serviced the hotel’s pool and the building’s pool, but the contract invoice never went out because nobody remembered it.
With Qoyod: make the maintenance invoice the base of a recurring transaction with a monthly recurrence that creates an invoice every month in the status you chose, depending on your subscription.
2. A house pool in Amman, from quotation to maintenance contract
A homeowner in Amman asks for a pool in the backyard of his house, then monthly maintenance. Follow the order in five stops; each stop writes a line on the journey card.
Stop 1: The homeowner asks for a quotation
Send him a quotation for the construction, the pump and the filter with its expiry date. Stock does not move with it until the quotation is approved and you convert it into a sales invoice.
Stop 2: He pays the deposit before digging
Create a receipt in his name for the deposit before any invoice; it shows as unused while it is not allocated to an invoice.
Stop 3: You buy pumps from the supplier
Enter the supplier’s purchase invoice with the pump count and the unit price; as stored items, their quantity in stock goes up.
Stop 4: The homeowner takes over the pool
Issue the sales invoice for the construction, the pump and the filter, and settle part of it with the deposit receipt, so it shows as partially paid until he pays the rest.
Stop 5: Monthly maintenance begins
After you approve the first month’s maintenance invoice, attach it as the document of a monthly recurring transaction, ending it on a chosen date or after a set number of recurrences.
3. Swimming Pool Accounting Software in Jordan: six tasks from digging to maintenance
Electronic invoicing and integrated accounting in one system. Six of its tasks matter to a swimming pool company in particular, and some of them depend on your subscription, such as recurring transactions and projects.
The pool is a service, the equipment products
Create the construction as a “Service” product, and do the same for other work you sell, like fitting pool lights or retiling. A service is not stored and is only sold; it has its own selling price, revenue account, unit of measure and tax. The pump and the sand filter are products with their selling prices. One sales invoice, for cash or on credit, carries all three lines, and you can change any line’s unit price when the agreed figure differs.
A quotation for the homeowner
Before deciding, a homeowner or a hotel’s management wants a price. Issue a quotation that expires on a date you set, send it or keep it as a PDF, and once its status is approved, turn it into a sales invoice. If the quotation lists more pumps than your stock holds, it cannot be converted.
The deposit and the customer’s account
Open Customer receipts and enter the deposit as a receipt for the homeowner before any invoice exists; its status is unused until it is allocated. At handover, press Pay on the pool invoice and let that receipt cover part of it; each later payment is another receipt against the same invoice. His balance appears in the customer statement, and the customer ageing report compares balances between periods. Price lists per customer are not available in Qoyod, so a rate agreed with a particular hotel is typed on the invoice line. For the detail, read our explainer on collecting a credit sale invoice in JoFotara.
A project for each pool contract
There is no direct way to add contracts in Qoyod, so the documented alternative is to record each pool’s contract as a project under Tasks and projects, with its number, start and end dates and value, depending on your subscription. Choose that project under “Additional information” on the sales invoice and on the purchase invoices for the pool, then filter the income statement by the project from “Advanced analysis” to see that pool’s figures alone, depending on your subscription. Anything you buy for the pool without stocking it, such as cement or piping, is first defined as an “Expense” under Products and costs, then added as a line on the purchase invoice.
Chlorine in stock and in the count
Treat chlorine, other pool chemicals and pumps as stored items: purchase invoices add to their quantity, and selling some to a pool owner on a sales invoice takes it down. Qoyod has no direct stock issue voucher, which means the chlorine your crew carries to the pools remains in its balance until the store is counted. In an inventory count for the store’s location, pick the cost account for short quantities and type the actual quantity; the difference shows at average cost and is posted to that account. For each item, the product cost and margin report lists the available quantity and the average unit cost.
Monthly maintenance on an invoice that repeats
Once the first month’s maintenance invoice is approved, go to Accounting, open Recurring transactions and add one, depending on your subscription. Choose monthly as the recurrence type, a recurrence start date, and an end that is a date or a maximum number of recurrences; attach the approved invoice as the document and decide whether the new invoices arrive as drafts, pending approval or approved. The maintenance contract itself can be kept as a project with its invoices linked to it, depending on your subscription.
4. Swimming pool companies and the National Invoicing System
Discuss your company’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your company is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your stock, purchases, sales and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. Your pool books, between you and your accountant
Your accountant, or the accounting firm that follows your company, sees the same books you open in Qoyod. Whether your company must issue invoices through the system is a question for your accountant and the Department; the sales invoices, the receipts and the chlorine counts stay in Qoyod.

7. Frequently asked questions
Do swimming pool companies have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I record the deposit a homeowner pays before digging?
From the Sales menu choose Customer receipts and create a customer receipt in the homeowner’s name for the deposit amount. The receipt stays unused while it is not allocated to an invoice; when you issue the pool invoice, press Pay on it and settle from it whatever the receipt covers.

How do I record the chlorine the maintenance crew uses?
Qoyod does not offer a direct stock issue voucher. Go to Products and costs, open Inventory count and start a count for the store’s location; pick the cost account for short quantities and type the chlorine you actually have. The difference shows up and is posted to that account.
Does Qoyod organise maintenance visits and assign technicians to pools?
Qoyod is accounting software, and this page covers sales invoices, receipts, stock, inventory counts and customer balances, plus projects and recurring transactions depending on your subscription. Organising maintenance visits and assigning technicians to pools are not shown here.
How do I invoice a pool maintenance contract every month without creating the invoice again?
Approve the first month’s maintenance invoice. Then, depending on your subscription, go to Accounting, open Recurring transactions and click Create recurring transaction. Choose monthly as the recurrence type, add a recurrence start date and an end (a date or a maximum count), attach the approved invoice as the document and choose the status the new invoices will carry. The transaction reads scheduled until the first recurrence, active after it, and completed when no recurrences remain.
So a swimming pool company’s accounts come together in one place: the construction and the equipment on one invoice, the deposit on a receipt, and the chlorine balance in the store.
