The animal’s check-up and vaccination on one invoice, and what the owner pays on a receipt.
Whether your clinic is exempt from the invoicing mandate today or required to issue invoices, every consultation is a service line on an invoice, and every payment a receipt in the animal owner’s name.
Vet Clinic Accounting Software in Jordan organises what passes through a veterinary clinic every day: the services the vet provides, the medicines and food you sell, and the money animal owners and farms pay. In Amman, Irbid or Zarqa, a clinic sees cats and dogs, and its vet visits cattle, sheep and poultry farms. Add the consultation and the vaccination in Qoyod as two services, issue one sales invoice with both in the animal owner’s name, and record the payment on a receipt.
1. Between the exam room and the storeroom: where do a vet clinic’s numbers go?
Before you choose accounting software for a vet clinic in Jordan, picture one week there: consultations priced by word of mouth at reception, medicines arriving from suppliers with no clear balance, visits to farms that pay weeks later, and devices you bought and never recorded.
A visit with no invoice
The dog’s owner leaves after the consultation and a dose of medicine, and what they paid stays on a slip of paper at reception.
With Qoyod: make the consultation a service and the medicine a product, and put both on one sales invoice in the owner’s name.
Medicines with no known balance
Veterinary medicines and bags of pet food arrive in stages, and nobody knows the balance of each item until it runs out.
With Qoyod: make them stored items, so their balance rises with the purchase invoice and falls with the sales invoice.
Farms on account
The vet visits a poultry or livestock farm several times, and at the end of the month the owner asks what they owe.
With Qoyod: issue a credit sale invoice for each visit, and send the owner their customer statement.
Devices outside the accounts
An X-ray unit and an ultrasound scanner worth thousands of dinars, and their value shows in no report.
With Qoyod: record them as fixed assets, and follow each one’s depreciation and book value, depending on your subscription.
2. One day at a vet clinic in Amman: from the consultation to the farm’s account
Five stops from an ordinary day at the clinic; each one adds its line to the journey card.
Stop 1: A cat needs a check-up and a vaccination
Issue a sales invoice in the owner’s name with the consultation and the vaccination, and record the payment on a receipt, so the invoice shows as paid.
Stop 2: Pet food arrives from the supplier
Record the purchase invoice in the supplier’s name, and the item’s balance rises because it is a stored item.
Stop 3: The cat’s owner buys its food
Add the two bags of food on a sales invoice, and their balance in stock falls.
Stop 4: A sealed bag comes back to the clinic
Create a credit note against the owner’s invoice, so the quantity goes back to stock because the item is stored, and the original invoice stays unchanged.
Stop 5: Three visits to a farm
Issue the farm owner a credit sale invoice for the three visits, so it stays on their account until they pay.
3. Vet Clinic Accounting Software in Jordan: what Qoyod covers in your clinic
Electronic invoicing and integrated accounting in one system. In a veterinary clinic in particular, these are six jobs Qoyod takes on, from the consultation invoice to the device register.
The vet’s services with their prices
Set up the consultation, the vaccination and the operation as products of the “Service” type: they are not stored and are only sold, with a default selling price, a revenue account and a unit of measure. On the invoice line you change the price if you need to, or add a discount as a percentage or an amount.
Medicines and food with their balances
The veterinary medicines and bags of food you buy in quantity, make stored items: their balance rises when you record the purchase invoice and falls when you sell them on a sales invoice. If a customer returns a stored item, the credit note puts its quantity back in stock.
Each supplier’s account
Record the deliveries of medicines and food on purchase invoices in each supplier’s name, and what you pay them on a supplier receipt, and follow what you owe them in the supplier statement and in the supplier ageing report across periods.
A quotation before an operation
When an operation or a treatment over several days is coming, give the animal owner a quotation listing the services and the date it expires, by sending it or as a PDF; once it is approved, you convert it into a sales invoice. Until it is converted, a quotation takes nothing out of stock.
Clinic devices as fixed assets
The X-ray unit, the ultrasound scanner and the operating table go into Qoyod as fixed assets through a purchase invoice. Their depreciation is calculated with the straight-line method, every device has an asset page with its depreciation and book value, and the fixed assets register report lists them all. Fixed assets are available depending on your subscription.
The farm’s and the stable’s account
A farm or a stable that settles later gets a credit sale invoice; each payment, whole or partial, goes on a receipt against it, and what remains shows in the customer statement and in the customer ageing report across periods. Qoyod does not support a price list for each customer, so a rate agreed with a farm is changed on the invoice line. For the collection steps, read collecting a credit sale invoice in JoFotara.

Who must use e-invoicing in Jordan
Whether your clinic is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your stock, purchases, sales and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. What you see in Qoyod, and what the clinic’s accountant reviews
If an accountant or an accounting firm keeps an eye on your clinic, go through what you need with them before you choose. Whether the invoicing mandate applies to you is a question for your accountant and the Department; the clinic’s day-to-day books live in Qoyod.

7. Frequently asked questions
Do veterinary clinics have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I put the consultation, the vaccination and a medicine on one invoice?
In Products and costs, add the consultation and the vaccination as products whose type is “Service”, with a default selling price and a revenue account, and add the medicine as a product with its selling price. On the sales invoice in the animal owner’s name, enter the consultation as a line, then press Add more to add the vaccination and the medicine.

How do I know the balance of medicines and pet food?
Make each medicine and each type of food a stored item: its balance rises with the supplier’s purchase invoice, falls with the sales invoice, and goes back to stock when you create a credit note for an item the customer returned.
Does Qoyod keep a file for each animal, with its vaccination record and appointments?
No. Qoyod is accounting software: it has no medical file or vaccination record for an animal, it does not manage visit appointments or vaccination reminders, and it does not track medicine expiry dates or batch numbers. What this page shows is invoices, receipts, credit notes, stock, purchases, assets and customer balances.
How do I record the clinic’s devices in Qoyod?
Create an asset category that uses the straight-line method and set its useful life, then enter the device’s purchase on a purchase invoice and pick the asset in it. Every device then has an asset page with its depreciation and book value, and the fixed assets register report lists all of them. Fixed assets are available depending on your subscription.
That brings a vet clinic’s accounts together in one place: the consultation and the vaccination, the medicines and food in stock, each farm’s account, and the devices in the asset register.
