The party shoot and its album on one invoice, and the couple’s advance on a receipt.
Whether your studio is exempt from the invoicing mandate today or required to issue invoices, the shoot is a service line, the album a product line, and the advance a receipt in its payer’s name.
Photo Studio Accounting Software in Jordan sorts out three things every photography studio deals with: the session, the prints, and the money a customer pays before the shoot. In Amman, Irbid or Zarqa, a studio shoots weddings, graduations and store products, and sells albums and frames. Add the shoot in Qoyod as a service and the album as a product on one sales invoice, and record the advance as a receipt until you use it to pay part of the invoice.
1. Between the camera and the notebook: where do a studio’s accounts scatter?
Before you choose accounting software for a photography studio in Jordan, look back at an ordinary week there: sessions priced by word of mouth, advances for parties a month away, albums arriving from the print shop, and photography equipment you bought and never recorded.
A session with no invoice
The graduation shoot ends, and its price and the album’s price stay in two messages on the photographer’s phone.
With Qoyod: make the shoot a service and the album a product, and put both on one sales invoice.
An advance that cannot find its invoice
The couple pays an advance a month before the party, and when the invoice is issued nobody remembers what they paid.
With Qoyod: record it as a receipt in their name, then use it to pay part of the invoice when you issue it.
Albums from the print shop with no balance
Albums and frames arrive from the supplier in stages, and nobody knows how many are left in the store room.
With Qoyod: make them stored items, so their balance rises with the purchase invoice and falls with the sales invoice.
Equipment outside the accounts
Cameras, lenses and lighting worth thousands of dinars, and their value shows in no report.
With Qoyod: record them as fixed assets, and follow each one’s depreciation and book value, depending on your subscription.
2. One wedding in your books: from the quotation to the extra photos
A couple in Amman asks for their party to be photographed and for an album. Five stops tell the story of their order, and each adds its own line to the journey card.
Stop 1: The couple asks for a quotation
Give them a quotation for the shoot hours and the album with an expiry date. The quotation turns into a sales invoice only once it is approved.
Stop 2: They pay the advance
Record the advance as a receipt in their name, and it stays unused until you allocate it to their invoice.
Stop 3: The album arrives from the print shop
Record the purchase invoice in the print shop’s name, and the album’s balance rises because it is a stored item.
Stop 4: The invoice goes out after the party
Issue the sales invoice with the shoot and the album, and pay part of it with the advance, so the invoice becomes partially paid and the receipt becomes used.
Stop 5: The couple orders extra photos
Issue a separate sales invoice for the printed photos, with their quantity and unit price.
3. Photo Studio Accounting Software in Jordan: what Qoyod covers in your studio
Electronic invoicing and integrated accounting in one system. In a studio in particular, these are six jobs Qoyod takes on, from the session invoice to the equipment register.
The shoot as a service with its price and unit
Set up each session or photography package as a product of the “Service” type: it is not stored and is only sold, with a default selling price and a revenue account, and with a unit of measure that suits it, such as the hour. On the invoice line you change the price if you need to, or add a discount as a percentage or an amount.
Prints, albums and frames
Printed photos are products you sell at their price. The albums and frames you buy from the supplier in quantity, make stored items: their balance rises when you record the purchase invoice and falls when you sell them on a sales invoice.
The party advance
Open Customer receipts and create a receipt in the customer’s name for the amount of the advance; it shows as unused because it is not allocated to an invoice. When you issue the invoice, choose Pay and use it to pay part of the invoice, and it becomes used once its full amount is allocated.
A quotation for a wedding or a store
When a customer asks for the price before deciding, send them a quotation with an expiry date, or export it to PDF, then turn it into a sales invoice once it is approved. A quotation takes nothing out of stock before it is converted.
Photography equipment as fixed assets
Record cameras, lenses and lighting equipment as fixed assets through a purchase invoice. Qoyod calculates their depreciation with the straight-line method, each asset’s page shows its depreciation and book value, and the fixed assets register report brings them together. Fixed assets are available depending on your subscription.
The store’s and the company’s account
Issue a credit sale invoice to the store whose products you shoot, record what it pays with a receipt against the invoice, in full or in part, and follow the rest in the customer statement and in the customer ageing report across periods. Qoyod does not support a price list for each customer, so you change an agreed price on the invoice line. For the collection steps, read collecting a credit sale invoice in JoFotara.

7. Frequently asked questions
Do photography studios have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I put a photo session and an album on one invoice?
In Products and costs, add the shoot as a product whose type is “Service”, with a default selling price, a revenue account and a unit of measure such as the hour, and add the album as a product with its selling price. On the sales invoice, enter the shoot as a line with its number of hours, then press Add more and add the album as a second line.
How do I record an advance a customer pays before the party?
Open Sales, then Customer receipts, and create a customer receipt in their name for the amount of the advance; it stays unused because it is not allocated to an invoice. When you issue the party’s invoice, choose Pay and pay part of it with this receipt.

Does Qoyod manage session appointments and sharing photos with customers?
Qoyod is accounting software, and what this page shows is invoices, receipts, stock, assets and customer balances. Scheduling sessions and sharing or delivering photos to customers are not shown here, so ask sales what fits your studio.
How do I record cameras and lenses in Qoyod?
Add an asset category with the straight-line method and its useful life, then record the purchase of the camera or lens with a purchase invoice in which you choose the asset. Each asset’s page shows its depreciation and book value, and you find all your equipment in the fixed assets register report. Fixed assets are available depending on your subscription.
That brings a photography studio’s accounts together in one place: the session and the album, the advance before the party, the prints in stock, and the equipment in the asset register.
