Your customer’s invoice in dinars or in theirs, its total in your base currency, and the exchange difference at collection in the gains and losses account.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, your customer’s invoice and its receipt each stay in their own document.
Import and export accounting software in Jordan has to handle more than one currency in one set of books. You import goods and sell them in Amman or abroad; the supplier bills you in euros, and you pay weeks later at another rate. Add the currency in Qoyod with its exchange rate and choose the customer’s currency on the sales invoice: the total also shows in your base currency, and the rate difference at collection goes to the realized gains and losses account.
1. Where do the accounts of imported goods spread out?
Before you choose accounting software for an import and export company in Jordan, see where a shipment’s numbers spread today: an invoice in the supplier’s currency, a transfer that leaves at another rate, freight and clearance charges that come after the goods, and a customer abroad who asks for an invoice in their own currency.
An invoice in euros, books in dinars
The accountant converts the supplier’s invoice to dinars by hand, and weeks later cannot find the rate used.
With Qoyod: choose the supplier’s currency on the purchase invoice, and the invoice shows its total in that currency and in your base currency.
A transfer at a rate that is not the invoice rate
You transfer the price weeks after the goods arrive, and the dinar amount differs from what you booked on purchase day.
With Qoyod: edit the exchange rate on the payment voucher, and the difference moves to the realized gains and losses account set for the currency.
Freight and clearance charges after the goods
The freight bill and the customs broker’s invoice come after the supplier’s invoice, so you do not know what each unit cost by the time it reached your warehouse.
With Qoyod: divide what you paid over the quantity and add it to the unit price on the purchase invoice, or record it as an expense line that leaves the average cost alone. The decision is your accountant’s.
A sale at home and a sale abroad
You sell to a trader in Amman in dinars and to a customer in another country in their currency, and the two invoices should not mix.
With Qoyod: choose the customer’s currency under their name on the sales invoice, or assign it in their record so it shows on every invoice for them.
2. An imported shipment in your books: from the purchase order to your customer abroad
One shipment, five stops, each writing a line on the shipment card.
Stop 1: You send a purchase order in the supplier’s currency
Write the agreed quantities and prices in euros on the purchase order. A purchase order is an organising document: it touches neither stock nor the accounts before it becomes an invoice.
Stop 2: The goods arrive, and so does their invoice
Convert the purchase order to a purchase invoice: the quantity of stored items rises, and the total shows in the supplier’s currency and in your base currency. If the shipment arrives in parts, create one invoice per part.
Stop 3: You transfer the price to the supplier
Record the payment voucher on the supplier’s invoice at the rate on the day you pay: the rate difference goes to the realized gains and losses account, and its entry appears in the journal book.
Stop 4: You sell to a trader in Jordan
Issue a sales invoice in dinars, and the value of the quantity sold moves from the inventory account to the cost of goods sold.
Stop 5: You sell to a customer outside the Kingdom
Choose the customer’s currency on the sales invoice: its amounts show in their currency and its total in your base currency.
3. Import and export accounting software in Jordan: what Qoyod covers in your company
E-invoicing and full accounting in one system. Here are six more jobs Qoyod covers in a company that buys abroad and sells at home and abroad.
The supplier’s and the customer’s currencies
Create the foreign currency in Settings with its exchange rate and its realized and unrealized gains and losses accounts, then assign it to a supplier or customer and use it in invoices, quotations and purchase orders. There is no cap on the number of currencies. You update the exchange rates, including “Edit rate” for unpaid transactions. What is sent to the National Invoicing System for a foreign-currency invoice is not shown on this page.
An advance to a supplier before shipping
If the supplier asks for part of the price before shipping, record it as a supplier voucher with no invoice: it stays “Unused” until you allocate it to their invoice when it arrives.
Freight and clearance charges and the unit price
Qoyod does not move an expense into a product’s cost on its own. Either divide the freight and clearance charges over the quantity and add each unit’s share to its price on the purchase invoice, or put them on the invoice as an expense line, which counts in its total and leaves the stock’s average cost unchanged. Expense lines depend on your subscription.
The goods in your warehouse
Define the goods as stored products, and the purchase invoice raises their quantity in the location you choose. The product cost and margin report shows the quantity available and the average unit cost for each product and location. What you send back to the supplier you record with a debit note, and its quantity leaves stock.
The customer’s account in both currencies
The customer statement report shows invoices and payments in the local and the foreign currency, while the account statement shows the base currency only. Compare customer debts from one period to another in the customer aging report.
A letter of credit or purchase order reference
Create a text additional field for purchase invoices, such as the letter of credit number or the purchase order number: it shows in the invoice’s additional information, and you can search invoices by it later. The field is a reference you write yourself, and purchase additional fields depend on your subscription.
Purchase invoices, purchase orders, supplier vouchers and stored products depend on your subscription, so ask sales what fits your company.
4. Import and export companies and the National Invoicing System
Discuss your company’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your company is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your purchases, stock, sales and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. What you follow and what your accountant checks
If your company has an accountant or an accounting firm, their view on accounting software comes before your decision. The question “is my activity exempt?” belongs to your accountant and the Department; the books belong in Qoyod.

7. Frequently asked questions
Must an import and export company issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

If a business is not required to e-invoice, does that mean it pays no sales tax?
Not in itself. An activity’s exemption from the invoicing regulation, where it applies, does not by itself exempt it from General Sales Tax or income tax; each has its own law. Review your tax position with your accountant.
Can I invoice a customer abroad in dollars or euros?
In Qoyod you choose the customer’s currency under their name on the sales invoice: the amounts show in their currency and the total in your base currency. Among the Income and Sales Tax Department’s invoice types is an export invoice for sales from inside the Kingdom to outside it, and sales to free zones and to the Aqaba economic zone also count as export. The invoice type Qoyod sends to the National Invoicing System for an export, and what it sends for a foreign-currency invoice, are not shown on this page, so ask sales about them.
How do I include freight and clearance charges in the cost of goods?
Qoyod does not move expenses into product cost on its own, so you spread them: if you buy 100 units at 50 and pay 500 for freight, each unit’s share is 5, and you enter a unit price of 55 on the purchase invoice. If you prefer to keep the charges as an expense, define them as an expense in Products and costs, then add them as an expense line on the invoice: they post to the expense account and the stock’s average cost does not change. Agree on one of the two methods with your accountant.
Does an importer have to register for General Sales Tax?
There is no minimum for importers to register for General Sales Tax: an importer registers within 30 days of the first import, unless the import is for personal use. In the rate table, exports of goods and services are zero-rated. Set the tax on each line of your invoices with your accountant.
Does Qoyod handle customs declarations or customs systems?
Qoyod is accounting software, and this page shows currencies, purchase orders, purchase and sales invoices and stock. It does not show filing customs declarations, connecting to customs systems, calculating duties, tracking shipments or managing letters of credit. If a customs broker clears your goods, record their invoice as a purchase invoice in their name.
That is how your trade comes together in one set of books: the supplier’s invoice in its currency, the exchange difference when you transfer the price, your goods at their average cost, and each customer’s invoice in their currency.
