Gift Shop Accounting Software in Jordan

The piece, its wrapping and its discount on one sales invoice, and what the customer pays on a receipt against it.

Exempt from the invoicing mandate today or required to issue invoices, your shop still keeps a line on an invoice for every sale and a receipt for every payment.

Gift Shop Accounting Software in Jordan puts the pieces a customer buys, their wrapping and the seller’s discount on one sales invoice. At a gift shop in Amman, Irbid or Zarqa, a customer buys a coffee cup set and two wooden frames, asks for both to be wrapped, and pays the full amount at the purchase. In Qoyod each piece is a product you sell and the wrapping a “Service” product, all lines on one invoice with the discount added on the line, and the payment a receipt against it.

1. From the shipment to the gift: where a gift shop’s numbers disappear

Before you choose accounting software for a gift and antique shop in Jordan, look at the week before Eid: hundreds of pieces sell every day, wrapping is given without being recorded, a custom order’s deposit sits on a paper slip, and pieces break in the shipment without reaching a ledger.

Hundreds of pieces, prices in memory

The shop holds hundreds of pieces, each in a small quantity, and the price lives with the seller or on a sticker.

With Qoyod: make each piece a product you sell at its selling price, and put what a customer buys on one sales invoice.

Wrapping and discounts on a word

The seller wraps the gift and takes something off the price on a word, so neither the wrapping nor the discount shows on any invoice.

With Qoyod: add the wrapping as a service with its price, and put the discount on the line within the percentage you set for each user.

A custom order’s deposit on a paper receipt

A customer pays a deposit for a piece engraved with their name, or for a company’s gifts due in a week, and the amount stays on a handwritten receipt.

With Qoyod: enter it as a receipt for the customer, and apply it to part of their invoice when you issue it.

Pieces that break in the shipment

The shipment arrives before the season, some pieces break and others stay on sale, and nobody knows what the loss cost the shop.

With Qoyod: book the shipment on a purchase invoice, then count what remains in an inventory count, and the difference is posted to the cost account you choose.

2. A company’s order in your books: from the shipment to the end-of-season count

A company in Amman orders forty hospitality sets as gifts for its employees before Eid. The order passes five stops in your books, and the journey card keeps the amount of each one.

Stop 1: The shipment arrives before the season

Book the sets you bought on a purchase invoice from the supplier, and their stock quantity rises at the price you paid.

Stop 2: A quotation for the company

Draft a quotation for the company with the sets and their wrapping and an expiry date, send it or keep it as a PDF, and once its status is Approved, convert it into a sales invoice.

Stop 3: The company pays the deposit

The deposit is recorded as a receipt in the company’s name and remains Unused for as long as the invoice has not been issued.

Stop 4: The delivery-day invoice

Issue the sales invoice with the sets and the wrapping as a service, and settle part of it with the deposit receipt, so it shows Partially paid until the company pays the rest.

Stop 5: The end-of-season count

Start an inventory count at your shop’s location and key in the actual quantity of the sets left; the difference lands in the cost account you chose.

3. Gift Shop Accounting Software in Jordan: what Qoyod covers in your shop

E-invoicing and full accounting in one system. Beyond that, six jobs in a gift shop, from the shipment the supplier sends to the last count.

A line for every piece, a line for its wrapping

In Qoyod a piece is a product you sell at its own price, and the wrapping is a “Service” product. A service is a line that is only sold, never stored or bought, and it carries the selling price, revenue account, tax and unit of measure you decide. If the shop’s pieces number in the hundreds, import your products and services from an Excel template once you have created the product categories. A single sales invoice brings the pieces together with their wrapping, and whatever you wrote in the Description field beside a piece about the customer’s order, such as special wrapping or a colour, shows in the invoice preview and the PDF.

A line discount within each seller’s limit

Customer-specific price lists are not currently available in Qoyod, so a price you agree with a customer goes into the unit price on their invoice line. You can add a discount to the line as a percentage or a value, and set for each user in the users settings the maximum discount percentage they can add.

A custom order’s deposit, a company’s quotation

When a customer leaves a deposit before delivery, you enter it under Customer receipts as a receipt, and with no invoice behind it yet its status is Unused. When a company wants gifts for its staff, quote the sets and their wrapping with an expiry date and send the quotation or keep it as a PDF; once it is Approved, convert it into a sales invoice and the quotation reads Invoiced. On delivery day, open the invoice, choose Pay and apply the receipt to part of the amount, so the invoice shows Partially paid, and enter what the company pays later on a new receipt. Pieces in stock, and the set built from them

Create the pieces you buy to resell as stored products, so each has a purchase price and an expense account beside its selling price. Record what arrives in the shipment as a purchase invoice in the supplier’s name, and the quantities go up in stock, costed at average cost. For a set that combines pieces from the shop, create it, depending on your subscription, as a non-stored bundled product made of its pieces with the quantity of each, so those quantities are deducted from stock when it sells, and if one piece’s balance runs short, the sales invoice shows an error that names the unavailable product.

What broke, in the count

When the season closes, start an inventory count at your shop’s location. Choose the cost account that takes the short quantities, key in the actual quantity of each piece, and Qoyod works out the difference at average cost and books it to that account. A damaged-goods account of your own can be added beforehand to the chart of accounts under operating expenses.

A gift that came back

If a customer returns a gift, open its invoice under Sales invoices and press Return invoice, and a credit note is created with all its lines; delete what did not come back. The customer’s balance falls by it, and the original invoice stays as it is, with Returned beside its status. If the invoice was paid, choose Refund, and a payment voucher is created from the cash box or the bank. The piece goes back into stock if it is a stored product.

  • The quotations for companies’ gift orders that you sent, and the status of each.
  • Each custom order’s deposit, and what the customer still owes on the customer statement.
  • The balance of pieces in stock and the difference from each count.

What your accountant reviews

  • Sales invoices, purchase invoices, credit notes and customer receipts.
  • Income statement, balance sheet and trial balance.

7. Frequently asked questions

Do gift shops have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. More detail in our guide to the JoFotara exemption

If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I put the pieces, the wrapping and the discount on one invoice?

From Products and costs, add a product you sell for each piece at its default selling price, and a “Service” product for the wrapping with its price, revenue account and unit of measure. Then start a new sales invoice, pick the first piece and add the wrapping and the other pieces with Add more; every line opens at its default price, which you may change. Enter the discount on the line as a percentage or a value, up to the maximum discount percentage set for the user.

How do I record a custom order’s deposit before delivery?

Under Sales, open Customer receipts and create a receipt for the customer with the deposit amount. It shows as Unused, because no invoice is attached to it yet. At delivery, open the order’s invoice, choose Pay and apply that receipt to part of the invoice amount.

How do I record a piece that broke before it sold?

Open Inventory count from Products and costs, create a count for the shop’s location, and pick the cost account for short quantities. Then enter the actual quantity of each piece, and Qoyod shows the difference and posts it to that account. If you want a damaged-goods account of its own, add it first to the chart of accounts under operating expenses.

Does Qoyod issue gift cards and purchase vouchers, or follow customer loyalty points?

Qoyod is accounting software, and what we show on this page is customer receipts, sales invoices, credit notes and customer balances, together with quotations, purchase invoices and inventory counts, plus bundled products depending on your subscription. Gift cards, purchase vouchers and loyalty points are not shown on this page.

That brings a gift and antique shop’s accounts together in one set of books: the piece and its wrapping on an invoice, the deposit and the rest of the price on two receipts.
