Accounting Software for Bus Rental in Jordan

A contract for months, an invoice every month, a bus that ages every year.

Whether your company is exempt from the invoicing mandate today or required to issue invoices, its contracts, buses and purchases have clear figures in one set of books.

Accounting software for bus rental in Jordan starts with three questions: what do your contracts bring in each month, what have the schools, companies and hotels you hire buses to not yet paid, and what do you owe the fuel station and the workshop? Add each bus rental to Qoyod as a service item with its price and revenue account, then make the contract’s invoice repeat every month.

1. Where a bus rental company’s numbers scatter

Before you pick software for your books, see where your figures are kept today: contract prices, the monthly invoice, the balance each customer owes, the fuel and workshop bills, and the buses themselves.

A contract price in a message

You agreed the price of a bus with a company in a message, and the income of every contract lands on one line.

With Qoyod: define the bus rental as a service with a price, tied to its revenue account.

An invoice you copy every month

You open last month’s invoice and change its date, and if you get busy a month can pass without one.

With Qoyod: create a recurring transaction from the contract’s invoice, with a monthly repeat type.

A school or company that pays in parts

What each customer still owes is scattered between collection messages and bank statements.

With Qoyod: record each partial payment on its invoice, and read the balance in the customer statement.

Buses that age and invoices that never end

You buy a bus once, and the books never show how much of its value has gone, while fuel and workshop invoices sit in scattered drawers.

With Qoyod: register the buses as fixed assets from a purchase invoice, and enter fuel and workshop bills as purchase invoices under their suppliers.

2. A school or company contract in your books

A service you price, a contract you open as a project, an invoice that repeats and costs you tie to it: five stops that each add a line to the month card.

Stop 1: A bus rental with its price

Add the bus rental as a product of the type “service”, with a default selling price, a sales account and its own code, and choose its unit of measure or add a new one. A service is never stored and never purchased.

Stop 2: The contract as a project

Open a project in the contract’s name from “Tasks and Projects”, and record in it the contract number, its start and end dates and its value.

Stop 3: The first invoice is issued

Issue a credit sales invoice with a line carrying the number of buses and the price of one bus, choose the contract’s project in the additional information, and record each partial payment that reaches it.

Stop 4: It repeats every month

Once you approve the invoice, create a recurring transaction from it with a monthly repeat type and an end that you set, and choose the status its invoices are created in.

Stop 5: The contract’s costs and figures

Record the fuel and the workshop as two purchase invoices under their suppliers, each with an expense item you defined in Products and Costs, and pick the contract’s project on both. Then open the advanced analysis and filter the income statement by that project. The result is only as complete as the documents that carry the project name.

3. Accounting Software for Bus Rental in Jordan: what Qoyod covers in your company

E-invoicing and accounting, integrated in one system. Qoyod also covers six more jobs in your bus rental company.

A bus rental as a service with its price

Add the bus rental as a product of the type “service”, set its default selling price and the sales account it posts to, and choose a unit of measure from the list or add a new one. Edit the price on the invoice when you agree something different with a customer. Tax is set on the service card, as it applies.

The contract’s invoice repeats every month

From “Accounting” open “Recurring transactions” and create a recurring transaction, add the approved sales invoice to it, and set the start date, the repeat type, and an end by a date or a maximum number of repeats. Choose the status its invoices are created in: draft, pending approval or approved. Qoyod does not alert you before a recurring invoice is created, and the list shows the status of each transaction.

A contract and its project

There is no separate contract module in Qoyod, and the documented alternative is a project. Name it after the contract, enter the contract number, its dates and its value, and pick it in the additional information of each sales invoice, purchase invoice and receipt voucher, so the income statement can be filtered by it. Projects depend on your subscription, so ask sales if they are missing.

Customers who pay in parts

Sell on credit and record each partial payment on the invoice, which moves its status to “Partially paid”. Then read what each customer still owes in the customer statement, and compare its debts across periods in the customer ageing report. For the detail, see our guide to collecting a credit invoice in JoFotara.

Fuel and the workshop as purchase invoices

Enter the fuel bill and the workshop bill as purchase invoices under their supplier, with an expense item you define first in Products and Costs. Then follow each supplier’s balance and your payments to it in the supplier statement.

Buses as fixed assets

Register the buses as fixed assets from a purchase invoice, follow each bus’s depreciation and book value, and pull the fixed assets register.

7. Frequently asked questions

Does a bus rental company have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I add a bus rental and its price to Qoyod?

Create it as a product whose type is “service”, with a default selling price and a sales account, which is the revenue account linked to the service. It needs no purchase price, because a service is never stored or bought. Pick its unit of measure from the list or add one, enter the number of buses as the quantity on the invoice line, and overwrite the price on that line when a customer has a different deal.

How do I make a contract’s invoice repeat every month?

Issue the first month’s invoice and approve it, then open “Recurring transactions” from “Accounting” and press “Create a recurring transaction”. The reference appears ready and you can edit it, so add the names in Arabic and English, set the start date and the repeat type, and end the repeats by a date or a maximum number of repeats. Add the invoice from “Add documents”, and choose the status the invoices are created in according to your permissions: draft, pending approval or approved. If “Recurring transactions” does not appear for you, ask for the permission to be given to the user. Qoyod does not send an alert before a recurring invoice is created, so to review it before it is issued, create it as a draft or as pending approval.

Does Qoyod show the figures of each contract and each bus?

That depends on your subscription, which decides whether projects are available. With them you can keep one project per contract, attach to it the sales invoices, purchase invoices and receipt vouchers of that contract, and filter the income statement by the project to see the income and expenses attached to it. The picture is complete only when every document of the contract carries the project name and every purchase invoice uses an expense item defined in Products and Costs. Qoyod has no separate contract module, and it does not divide a bus’s depreciation among contracts. Each bus does keep its own depreciation and book value in the fixed assets register. A report of the cost or result of each bus is not shown here, so ask sales what suits your company.

Does Qoyod manage bus scheduling, driver allocation, vehicle tracking and contract renewals?

Qoyod is accounting software, and this page covers invoices, recurring transactions, balances, purchases, projects, fixed assets and the preset reports. Bus scheduling, allocating drivers to contracts, vehicle tracking, fuel cards and contract renewals are not shown here, so ask sales what suits your company.

That is the whole of the company’s books: its contracts and their monthly invoices, what customers still owe, the bills for fuel and the workshop, and its buses.
