Hours are sold, consoles wear out, and the books stay in one place.
Whether your lounge is exempt from the invoicing mandate today or required to issue invoices, you record your hours of play, purchases, equipment and company orders in Qoyod, and find them all in one set of books.
Accounting Software for Gaming Lounges in Jordan starts from the hour you sell: hours of play sold to individuals and companies, drinks and snacks you buy for the lounge, and consoles and screens you pay for once and use for years. Set up an hour of play in Qoyod as a service with its price, issue a sales invoice for it, and follow what each company still owes.
1. Where do your lounge’s numbers scatter?
Before you choose accounting software for a gaming lounge, look at where its numbers live today: the hours of play you sold, your drinks stock, what companies still owe, and the equipment itself.
Hours in the till notebook
You jot hours of play in a notebook or on a slip of paper, so you cannot tell how many you sold or for how much.
With Qoyod: add an hour of play as a service with “hour” as its unit of measure, and issue a sales invoice for it.
Drinks between two branches
You move drinks and snacks between two branches, and you do not know how much is left in each.
With Qoyod: add each branch as a location, and move quantities between them with a stock transfer.
A company books an occasion for its staff
A company asks for your lounge for its staff occasion and pays part in advance, so the advance gets lost among the messages.
With Qoyod: the order starts as a quotation, the advance is recorded as a receipt voucher, and the approved quotation becomes a sales invoice.
Equipment with no record
Your consoles and screens are a large investment with no book value and no depreciation.
With Qoyod: add each one as a fixed asset with its value and useful life, and see what depreciates and its book value.
2. From the hour to the console in your books
One company occasion and what surrounds it pass through five stops, and each adds a number to the lounge numbers card.
Stop 1: The order’s quotation
Issue a quotation with a line for hours of play and the price of an hour, send it to the company, and save it as approved once they accept.
Stop 2: The advance
If the company pays part before the occasion, enter it as a standalone receipt voucher without an invoice, and it remains unused until you allocate it to their invoice.
Stop 3: The sales invoice
Convert the approved quotation into a sales invoice, and allocate the advance to it once it is approved.
Stop 4: The lounge’s purchases
Record purchases of drinks and snacks on a purchase invoice, and set the items whose balance you follow as stored products with a unit of measure, so their balance shows in each branch’s location.
Stop 5: Consoles and screens
Add your consoles and screens as fixed assets with their purchase price and useful life, and follow the depreciation of what depreciates and its book value.
3. Accounting Software for Gaming Lounges in Jordan: what Qoyod covers in your lounge
Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your lounge, from the hour of play to the equipment.
An hour of play as a service
Add an hour of play as a product of the type “Service”, set its unit of measure to “hour” or add a new unit with the “+” sign, then its selling price and its revenue account. A service appears on sales invoices and quotations, does not enter stock, and cannot be sold on a purchase invoice. The price you set is a default, and you edit it on the invoice.
Drinks and snacks
Add the items whose balance you follow as stored products with a unit of measure, and record their purchases on a purchase invoice. Qoyod uses average cost only. An item whose balance you do not follow should be a not-stored product, so its value is recorded as an expense when you buy it. Record what is damaged or short as a difference in a stock count, after you add an account for it.
More than one branch
Add a location for each branch, set the location on every sales and purchase invoice, and move quantities between branches with a stock transfer. Then filter the sales and purchases summary report by location to see each branch’s sales and purchases, and open the product locations report for each item’s balance in each branch. The number of locations depends on your subscription.
Company orders and occasions
Start the occasion with a quotation, and convert it into a sales invoice once the company approves. Enter what they paid in advance as a standalone receipt voucher, which stays unused until you allocate it to their invoice. Follow what they still owe in the customer statement and the customer ageing report. More in our guide to receipt vouchers and invoices in Jordan.
Consoles and screens
Record your consoles, screens and other equipment as fixed assets with a purchase price and a useful life in years or as a percentage, and follow the depreciation of what depreciates and its book value. Depreciation is posted as an expense at the asset level. Fixed assets are available depending on your subscription.
A tournament or a special occasion
If you run a tournament or a special occasion, create a project for it, link its sales invoices and expenses to it from “Additional information”, then open the income statement with the project filter to see what you linked. You can make the project private so only chosen users see it. Projects are available depending on your subscription, so ask sales which subscription includes them.
4. Gaming lounges and the National Invoicing System
Discuss your lounge’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your lounge is exempt from the invoicing mandate or required to issue invoices, Qoyod helps you keep the books for your purchases, stock, expenses, assets and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. Your accountant shares the decision
If an accountant or an accounting firm works with your lounge, listen to their view before you settle on accounting software. The question “is my activity exempt from the invoicing mandate?” is for your accountant and the Department, and the books are for Qoyod.

7. Frequently asked questions
Does a gaming lounge owner have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I sell hours of play in Qoyod and follow what companies still owe?
Open “Products and costs”, then “Create products and costs”, and choose the product type “Service”. Enter its name and category, choose “hour” as the unit of measure or add it with the “+” sign, and set its selling price and revenue account. Then add it as a line on a sales invoice or a quotation, and enter the quantity of hours yourself. The price on the service is a default that you edit on the invoice, and what shows in reports is the price on the invoice. You follow what each company still owes in the customer statement and the customer ageing report.
How do I follow drinks and snacks stock across my branches?
From “Products and costs”, then “Locations”, create a location for each branch, then create the items whose balance you follow as stored products with a unit of measure. After that, move quantities between branches with a stock transfer, and check the product locations report for each item’s balance at each branch. Qoyod calculates average cost only, and the first in, first out method is not available. The number of locations depends on your subscription. An item whose balance you do not follow should be a not-stored product, so its value is recorded as an expense when you buy it. Choose the status when you create the product, because it cannot be changed after movements are recorded on it.
How do I record my consoles and screens as fixed assets?
Add each console or screen as a fixed asset under a category that sets whether it depreciates, with the straight line method and a useful life in years or as a percentage. You then follow its depreciation and book value. Depreciation is posted as an expense at the asset level, so Qoyod does not spread it over hours of play. Fixed assets are available depending on your subscription, so ask sales which subscription includes them.
Does Qoyod time play, manage memberships, book devices or run prepaid cards?
Qoyod is accounting software, and what we show on this page is invoices, vouchers, balances, purchases, stock, assets, projects and reports. Timing play, memberships, booking devices, prepaid cards and tournament schedules are not something we show here, so ask sales what fits your lounge.
That is how your lounge’s accounts stay in one place, from the first hour you sell to the last console you buy.
