A monthly retainer, and an invoice that appears on schedule.
Schedule it in Qoyod as a recurring transaction, and choose the status it is created in: draft, pending approval or approved, according to your permissions.
Legal consultancy accounting software in Jordan starts with one client: a company that agrees a monthly retainer with you, and now and then asks for your opinion on a contract or a memo at a price you both agree. In a legal consulting office, that client’s account is split between an invoice that repeats every month, a one-off consultation invoice, an advance payment and the expenses of the file. Schedule the retainer invoice as a recurring transaction, add the client as a project, then link its invoices and expenses to it.
1. Where does one client’s account get scattered?
Before you choose accounting software for a legal consulting office, look at where one client’s account lives today: the retainer agreement, this month’s invoice, the receipt for the advance and the papers for the file’s expenses.
The retainer invoice is written again every month
You repeat the same invoice for every retainer client, and one missed month is enough.
With Qoyod: record it as a recurring transaction, and it is created on its date.
An opinion outside the retainer
The client asks for an opinion on a contract or a memo that the monthly agreement does not cover, and it is priced differently.
With Qoyod: issue a sales invoice at the price you set on the line.
A payment before the work starts
The client pays part in advance, and it has nowhere to sit before the invoice.
With Qoyod: record it as a receipt with no invoice, and it stays “Unused” until you allocate it to an invoice.
Where do your clients’ balances stand?
Every company has a balance with you, and you only see the age of its unpaid invoices after gathering the papers.
With Qoyod: open the customer statement and the customer ageing report.
2. A retainer’s journey through your office
One contract with a client, five stops in your books, and each adds a number to its card.
Stop 1: The contract starts
Add it as a project in “Tasks and Projects”, write the contract number, its start and end dates and its value, and attach a copy.
Stop 2: Its advance payment arrives
Record it as a receipt with no invoice, and it shows “Unused” until you allocate it to an invoice.
Stop 3: Its invoice is created
From “Accounting”, create a recurring transaction, choose the sales invoice and its status, and the invoice is created with every repeat.
Stop 4: Its expenses are recorded
Record what your office pays on the file on a purchase invoice with an expense item defined in “Products and Costs”, or on a simple invoice with an expense account, and choose its project in “Additional information”.
Stop 5: Its result shows
Filter the income statement by project from “Advanced Analysis”, and read the invoices and expenses you recorded on it.
3. Legal Consultancy Accounting Software in Jordan: what Qoyod covers in your office
E-invoicing and accounting, integrated in one system. Here are six jobs Qoyod covers in a legal consulting office.
A recurring invoice for the retainer
Create a recurring transaction with its reference and its names in Arabic and English, set the start date and the repeat type, and set its end by a date or a maximum number of repeats.
The status an invoice is created in
Choose whether it is created as draft, pending approval or approved, according to your permissions, and follow the transaction in its list: scheduled, active or completed.
An opinion outside the retainer
Issue a cash or credit sales invoice at the price you set on the line, for an opinion on a contract or a memo that the retainer does not cover.
An advance before the work
Record the client’s advance as a receipt with no invoice, and allocate it later to any invoice. You can link the receipt to the project from “Additional information”.
The client’s file is a project
Add the client as a project with its contract details, link its sales and purchase invoices to it, then filter the income statement or the balance sheet by project.
Following up on collection
Record the credit sale, follow each client’s balance in the customer statement, and compare its debts across periods in the customer ageing report.
4. Legal consulting offices and the National Invoicing System
Discuss your office’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your office is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your clients, invoices and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. What you see and what your accountant reviews
If your office works with an accountant or an accounting firm, their view on accounting software comes before your decision. The question “which invoicing position applies to my office?” belongs with your accountant and the Department. The books belong in Qoyod.
What you see
- The status of each recurring transaction in its list.
- What each client still owes, and what they paid in advance.
- The expenses you recorded on each file, and its result in the income statement.
What your accountant reviews
- Sales and purchase invoices and receipts.
- Income statement, balance sheet, trial balance and the customer ageing report.
- Report exports to Excel and PDF.
- If your office issues invoices: the JoFotara status of each one.
Add your accountant as a user on your account, with the role and permissions you set.

7. Frequently asked questions
Does a legal consulting office have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I schedule a monthly invoice for a retainer client?
From “Accounting” open “Recurring transactions” and press “Create a recurring transaction”. Fill in the reference, which appears automatically and can be edited, then the names in Arabic and English, the start date and the repeat type, and set the end by a date or a maximum number of repeats. Add the sales invoice from “Add documents”, and choose the status the invoices are created in according to your permissions: draft, pending approval or approved. If “Recurring transactions” does not appear for you, ask for the permission to be granted to the user.
Does Qoyod alert me before a recurring invoice is created?
No. Qoyod does not send an alert before a recurring invoice is created. To review it before it is issued, create it as a draft or as pending approval. The list of recurring transactions shows each transaction’s status: “Scheduled” for one whose first repeat has not started, and “Error occurred” for one that could not repeat because a product or an account was archived.
Can I record a client’s advance before the work starts?
Yes. Record it as a receipt with no invoice, and it shows “Unused” until you allocate it to a sales invoice, and you can allocate it to any later invoice that is approved or partially paid.
Does Qoyod manage contracts?
No. Qoyod has no direct feature for adding contracts. What you can do is use the project as the alternative: write in it the contract number, its start and end dates, its value and its details, and link your invoices and expenses to it. Projects are available according to your subscription, so ask sales whether they are available in your plan.
That completes one client’s account: the retainer invoice, the consultation invoice, the advance and the expenses. That answers the first question.
