Accounting Software for Auto Parts Stores in Jordan

A carton in, a part out, an account for every workshop.

Whether your shop is exempt from the invoicing mandate today or required to issue invoices, each item has its code, its units and its balance, and each workshop has its account.

Accounting software for auto parts stores in Jordan starts with the item’s unit: you buy the carton, you sell the part, and the workshop takes it on account. In an auto parts store, from Amman to Salt, the codes pile up and the units multiply. Add each item to Qoyod as a product with its code, purchase price and selling price, and follow its balance and movements in every location.

1. A day in an auto parts store

Before you choose an accounting system for an auto parts store, look at where your items’ numbers live today: the codes file, the warehouse notebook and the workshop’s balance at the end of the week.

The item list sits in an Excel file

The part codes and prices are in one file, and the balances in the warehouse notebook.

With Qoyod: import your products, their opening balances and your stock count from Excel templates.

You buy a carton and sell a part

Goods come in by the carton and go out by the part, so the count gets lost between the two units.

With Qoyod: set a unit conversion for the item, and Qoyod counts the stock in its base unit.

A workshop takes parts on account

A workshop takes parts through the week, and its balance sits in a separate book.

With Qoyod: record credit sales to your customers, and follow their balances in the customer statement and the ageing report.

Some parts in the showroom, the rest in the warehouse

The shelves show part of an item and the rest sits in another store.

With Qoyod: add your locations and transfer stock between them, and follow each item’s balance in every location.

2. A carton of filters from the supplier to the workshop’s account

From the supplier to the workshop’s account there are five stops, and the journey card gains a new line at each.

Stop 1: The carton arrives

Five cartons of air filters arrive on one purchase invoice, entered under the supplier’s name. What you have paid reduces the supplier’s balance, and the remainder stays recorded against you.

Stop 2: Two units for one item

The filter is added as a product with its code and category, and its base unit is the piece. Then a unit conversion is added: one carton equals 12 pieces, and you set the purchase and selling price of each unit yourself.

Stop 3: Sold to the workshop

Issue the workshop a credit sales invoice for two cartons of filters and three brake pads, and follow what you have collected and what the workshop still owes.

Stop 4: A payment and a return

The workshop pays part of the invoice and returns one brake pad. Issue a credit note for it, so its quantity returns to stock and the workshop’s balance goes down.

Stop 5: The workshop’s balance shows

What the workshop still owes shows in the customer statement and in the ageing report.

3. Accounting Software for Auto Parts Stores in Jordan: what Qoyod covers in your shop

E-invoicing and accounting, integrated in one system. Here are six more jobs Qoyod covers in your shop, for parts and their accessories.

Import from Excel

Import your products, their opening balances, your stock count, customers and suppliers from Excel templates, instead of entering them one item at a time.

Carton and piece

Set the item’s base unit and add a unit conversion, such as one carton equals 12 pieces. You set the purchase and selling price of each unit yourself.

A location for every store

Create the showroom, the warehouse and the branches as separate locations, move stock between them, and set each user’s permissions by location.

Workshops on their account

Record the invoice on credit, then the partial payments on it, and follow the remainder in the customer statement. More in our guide to collecting a credit sales invoice in JoFotara.

Suppliers and their balances

Record your purchases from each supplier on purchase invoices in its name, and follow what you still owe it and what you have paid.

Returns and exchanges

Record what a customer returns with a credit note so the part’s quantity goes back to stock, and issue a new invoice for the replacement part. More in our guide to exchanging goods in JoFotara.

7. Frequently asked questions

Does an auto parts store have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. More detail in our guide to the JoFotara exemption

Does Qoyod look up a part by car model or chassis number?

Qoyod is accounting software, and what we show on this page is items with their codes, categories, prices, balances and invoices. Looking up a part by car model, chassis number or manufacturer number is not shown here, so ask sales what fits your shop.

How do I buy by the carton and sell by the part?

Set the item’s base unit, which is the unit the stock is counted in, then add a unit conversion: one carton equals a number of pieces. You set the purchase and selling price of each unit yourself, so the carton’s price is not worked out from the piece’s price. The item’s units appear on invoices.

How do I handle a workshop that buys on account?

Issue it a credit sales invoice, record what it pays as partial payments on the invoice, and follow the remainder in the customer statement and the ageing report.

More in our guide to collecting a credit sales invoice in JoFotara

Can I set a special price for each workshop?

No. Qoyod does not support custom price lists or a special price per customer. What you get: a purchase price and a selling price for each unit of the item, and the option to edit the line’s price on the invoice.

How do I record a part that a customer returns or that I send back to the supplier?

Issue a credit note for the returned part, so its quantity returns to stock and the customer’s balance goes down. If you send it back to the supplier, issue a debit note from the purchase invoice, and its quantity is reflected on the stock.

That completes the item’s account: its carton, its piece, its invoice, and what is left owing from the buyer.
