Accounting Software for Translation Offices in Jordan

One order, two invoices.

An invoice to your customer and an invoice from your translator, each with its own statement, once you record them in Qoyod.

Accounting Software for Translation Offices in Jordan starts from a single order: how much did you invoice the customer, and how much is left for the translator? In a translation office, from Amman to Aqaba, a customer brings documents and a freelance translator takes them on, and the customer may pay part of the fee before the work begins. Define the translation service in Qoyod with a unit of measure and a price, issue the customer invoice by quantity, and record the translator’s fee as a purchase invoice.

1. A day in a translation office

Before you choose accounting software for a translation office, look at where the numbers of a single order live: the price of a page, what the customer paid and the translator’s fee.

A page here and a word there

You price one order by the page and another by the word, and add up the total by hand on a side sheet.

With Qoyod: define the service with a unit of measure you pick from the list or add, and enter the quantity on the invoice line.

A customer who pays before you start

The customer pays part of the fee with the documents, and you have nowhere to put it until the invoice is issued.

With Qoyod: record the payment as a receipt in their name, then allocate it to their invoice.

A freelance translator waiting for a fee

Each translator’s fee sits in a message, so you do not know how much is left for them.

With Qoyod: record the fee as a purchase invoice in their name as a supplier, and follow their balance and what you have paid.

A customer who pays later

A customer orders several translations, and what they owe is spread over loose papers.

With Qoyod: record the credit invoice on their account, and review their balance in the customer statement.

Stop 1: The service is defined

Define translation in Qoyod as a service with a unit of measure you pick from the list or add, a default selling price and a revenue account. A service is not stored and not purchased.

Stop 2: A payment from the customer

What a customer pays before the invoice, record as a standalone receipt in their name, and it stays unused until you allocate it.

Stop 3: The customer invoice is issued

Issue the sales invoice by quantity and a unit price you can change on the line, allocate the receipt to it, and follow what you have collected and what is left.

Stop 4: The translator’s invoice

Record the freelance translator’s fee as a purchase invoice in their name as a supplier, and what you have not paid of it stays in their balance.

Stop 5: A statement for each side

The customer statement shows what the customer owes, and the supplier statement shows the translator’s transactions, each in its own statement.

Who must use e-invoicing in Jordan

Whether your office is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.

5. Your accountant shares the decision

If an accountant or an accounting firm works with your office, hear their view before you decide on accounting software. The question “is my activity exempt from the invoicing mandate?” is for your accountant and the Department, and the books are for Qoyod.

What you see

  • What you have collected and what each customer still owes.
  • Each translator’s balance, and what you have paid.
  • Each file’s income and expenses, if you add it as a project.

What your accountant reviews

  • Purchase and sales invoices.
  • Income statement, balance sheet, trial balance and ageing reports.
  • Report exports to Excel and PDF.
  • If your business must issue invoices: the JoFotara status of each one.

7. Frequently asked questions

Does a translation office have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

More detail in our guide to the JoFotara exemption

If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I record translation by the page or by the word in Qoyod?

Translation goes in as a product of the type “service”, and you pick its unit of measure from the list or add a new unit with a name and a display form, and Qoyod asks for a type for the new unit. Then you enter the quantity on the sales invoice line. The service takes a default selling price and a revenue account, and it needs no purchase price.

Can I set a special price for each customer?

Qoyod does not support custom price lists or a special price for each customer. What you can do is change the unit price by hand inside the invoice or the quotation, customer by customer.

Can I record an advance from a customer, or to a translator, before the invoice?

Yes, both. Record the payment as a standalone voucher with no invoice, and it stays unused until you allocate it to a later invoice: the customer’s advance to a sales invoice, the translator’s advance to a purchase invoice.

Does Qoyod manage translation orders, their timing and customer files?

Qoyod is accounting software, and what we show on this page is invoices, balances, purchases and reports. Managing orders and their timing, storing files or connecting translation tools is not something we show here, so ask sales what fits your office.

That completes the order: an invoice to your customer, an invoice from your translator, and a statement for each.
