Space on the month’s invoice, stock between locations on its status, inventory on its count.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, you invoice space rent and handling in Qoyod, and you follow your stock across your locations.
Accounting software for warehouses and storage in Jordan starts with the month’s invoice for each customer: space rent, handling fees, what you have collected and what is left to collect. In a warehouse in Amman or Zarqa you rent space to a trader or a company, you charge a fee for every goods-in and goods-out, and you may move goods you own from one warehouse to another. Define the rent and the handling in Qoyod as services, issue each customer’s monthly invoice, and record the stock transfer between your locations and follow its status.
1. Where does a warehouse’s money scatter?
Before you choose accounting software for a storage company in Jordan, look at where a warehouse’s numbers live today: each customer’s rent, their handling fees, what they paid ahead of the invoice, and your stock between locations.
An invoice that repeats every month
You write the same rent invoice for each customer every month, so it runs late for one and goes wrong again for another.
With Qoyod: set up the rent invoice as a recurring transaction, and choose the state of the invoices it creates: draft, awaiting approval or approved.
Fees that change from month to month
The goods-in, goods-out and stock-count fees change with how much you did for the customer, and they are noted on a sheet or in a message.
With Qoyod: define each fee as a service with a default price you can change on the invoice, and add it as a line on the month’s invoice.
A customer pays before the invoice
Money reaches you before you issue the month’s invoice, and it blends in with the other transfers.
With Qoyod: record it as a standalone receipt in their name, and it shows as “unused” until you allocate it to the invoice.
Goods between two warehouses
The goods leave one location and nobody knows whether they reached the other.
With Qoyod: record the transfer between the two locations, and its status reads “In progress” until the receiving location records the receipt.
2. One month in your books: from the rent to the receipt
One month, five stops, one new line on the month’s numbers card at each.
Stop 1: You define the rent and the handling as two services
Add each as a product of the type “service”, with a unit of measure, a default selling price and a revenue account.
Stop 2: The customer pays an advance
Record the amount as a standalone receipt in the customer’s name, and it stays unused until you allocate it.
Stop 3: The month’s invoice is issued
Add the rent as a line with the area and the price per square metre, add the handling fees as lines, then allocate the advance to the invoice.
Stop 4: You transfer stock between two locations
Choose the sending location, the receiving location, the transit account and the quantity, then choose “Send”, and the transfer status reads “In progress”.
Stop 5: The other location records the receipt
Press “Receive” when the goods arrive, and the status becomes “Received” and the quantity rises in the receiving location.
3. Accounting Software for Warehouses and Storage in Jordan: what Qoyod covers in your warehouse
Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your warehouse, from the rent on your space to the count of each location.
Rent and handling as services
Define each as a product of the type “service” in a category you choose, such as “logistics services”, with a unit of measure: of the type “area” such as the square metre, or any other unit you add. Set a default selling price and a revenue account; a service has no purchase price. A service is not stored, so it has no stock balance. Qoyod does not support a price list for each customer, so you write the agreed price on the invoice line.
The recurring rent invoice
Set up each customer’s monthly rent invoice as a recurring transaction from Accounting: set its start date, repeat type and end, and choose the state of the invoices it creates: draft, awaiting approval or approved. The status of each transaction shows in the recurring transactions list, including “Scheduled” and “Error occurred”. Qoyod does not alert you before a recurring invoice is issued, so check the list yourself.
Advances and the customer’s account
Record what a customer transfers before the invoice as a standalone receipt in their name. It stays unused until you allocate it to an invoice, and the details are in our guide to receipt vouchers and invoices in Jordan. Then follow what you have collected and what each customer still owes in the customer statement, and compare customer debts across periods in the ageing report.
A location for each warehouse
Add your warehouses as locations with their Arabic and English names, and set each location’s inventory account. Then see each item’s quantity in each location, and the total, in the product locations report, and change the date to see the quantity at an earlier date. You can set which locations each user sees with permissions. The number of locations depends on your subscription, so ask sales what fits your company.
Stock transfers between locations
Create a stock transfer from one location to another with a transit account and the quantities, then save it as a draft or send it, and its status reads “In progress” until the receiving location records the receipt and it becomes “Received”. Or choose “Send and receive” for an immediate transfer. Receiving needs an approval permission on stock transfers, and Qoyod does not allow you to transfer more than the available quantity. Add items with a barcode reader if you have recorded their barcodes in their details.
Stock counts and item movements
Count one location in each operation, with an actual quantity you enter or with a barcode reader, or count several locations with an Excel file, and the difference from the current quantity shows, and Qoyod records it to an income account for the surplus and an expense account for the shortfall, both of which you choose. Each item’s movements show in its movement report: the date, type and reference of each operation, the change in quantity and the quantity after it. Qoyod works out an item’s cost by the average method.
4. Warehouses and storage companies and the National Invoicing System
Discuss your company’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your company is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases, assets and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. Your accountant shares the decision
If you work with an accountant or an accounting firm, their view on accounting software comes before your decision. The question “is my activity exempt from the invoicing mandate?” belongs with your accountant and the Department. The books belong in Qoyod.

7. Frequently asked questions
Does a warehouse or storage company have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I invoice a customer monthly for space rent and handling?
Open Products and costs, and add a service for the rent and a service for each handling fee, with a unit of measure, a default selling price and a revenue account for each. Then create a sales invoice for the customer, add the rent as a line with its area and the price per square metre, add the fees as lines, and change the price on a line if you agreed on another. To repeat the rent invoice every month, open Accounting, then Recurring transactions, press Create a recurring transaction, set the start date, repeat type and end, add the sales invoice (only approved, fully paid or partly paid invoices appear in the list, not drafts or invoices awaiting approval), and choose the state of the invoices it creates: draft, awaiting approval or approved. Qoyod does not alert you before a recurring invoice is issued, so check the recurring transactions list.
How do I transfer stock between two warehouses and know where it has got to?
Open Products and costs, then Stock transfer, and press Create a stock transfer. Choose the sending location, the receiving location and the transit account, and add the items and quantities; you can use a barcode reader to add them. Then save it as a draft, or choose Send, and the quantity leaves the sending location, is held in the transit account, and the status reads “In progress”. When the goods arrive, a user with the approval permission on stock transfers presses Receive, and the status becomes “Received” and the quantity is added to the receiving location. Or choose Send and receive for an immediate transfer. To see each item’s quantity in each location, open the product locations report. But a transfer cannot be edited once it is sent, a mistake is corrected with a reverse transfer, and the transfers cannot all be exported at once, so you export each operation to PDF on its own.
How do I count a warehouse and see the difference?
Open Products and costs, then Stock count, and press Create a stock count. Choose the location first, because items cannot be added before it is set. Choose the income account for surplus quantities, the expense account for missing quantities, the date and the description, and enter each item’s actual quantity, and the difference from the current quantity shows. You can scan with a barcode reader, or import an Excel file in which each sheet is a location to count more than one location. Qoyod does not accept a negative actual quantity. After you save, you review the entry in the journal book report and the item’s movements in its movement report.
Does Qoyod manage warehouse shelves and goods that customers store with you?
Qoyod is accounting software, and what we show on this page is invoices, receipts, balances, recurring transactions, and stock locations, transfers and counts. It does not track batch numbers or expiry dates, and it works out an item’s cost by the average method. Shelves and aisles, the placement of items inside a warehouse, recording goods that customers store with you and tracking them, working out rent from the space occupied, and a portal where a customer follows their goods are not shown here, so ask sales what fits your company.
That brings the warehouse’s accounts together in one place: the month’s invoice, what you have collected, and your stock between its locations.
