The shipment under its number, the carrier on its bill, the result in the income statement.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, you record the freight charge and the carrier’s bill in Qoyod, and what a customer has not paid stays on their account.
Accounting software for shipping and logistics companies in Jordan starts with a single shipment: a freight charge you bill the customer, a carrier’s bill you pay, and what is left between them. In a shipping company moving goods from Aqaba to Amman and Zarqa, you bill the customer on the weight of the load, you pay a carrier or an independent driver to move it, and the customer may transfer you money before loading. Define the freight in Qoyod as a service, record the carrier’s bill in their name, and write the shipment number in an additional field on both invoices.
1. Where does one shipment’s money scatter?
Before you choose accounting software for a shipping company in Jordan, look at where a single shipment’s numbers live today: its freight charge, its carrier’s bill, what its customer paid ahead, and the exchange rate if it is not in dinars.
A charge that changes with every shipment
The price moves with the weight of the load and its destination, from one customer to the next, and it lives on a sheet or in a message.
With Qoyod: define the freight as a service with a unit of weight or distance, and set a default price you can change on each invoice.
The carrier’s bill arrives late
The carrier or driver sends the bill days later, and the shipment’s cost stays out of your books.
With Qoyod: record it as a purchase invoice in their name, and see their balance and what you have paid them.
The customer transfers before loading
Money reaches you before the customer’s invoice exists, and it blends in with the other transfers.
With Qoyod: record it as a standalone receipt in their name, and it shows as “unused” until you allocate it to the invoice.
A shipment in another currency
You bill a customer abroad in one currency, you pay a carrier in another, and the exchange difference gets lost.
With Qoyod: choose the currency on the invoice at its exchange rate, and change the rate when you settle.
2. One shipment in your books: from the charge to the result
One shipment, five stops, one new number on the numbers card at each.
Stop 1: You define the freight as a service
Add the freight as a product of the type “service”, with a unit of measure, a default selling price and a revenue account.
Stop 2: The customer transfers an advance
Record the amount as a standalone receipt in the customer’s name, and write the shipment number in an additional field.
Stop 3: The freight invoice is issued
Add the freight as a line with the weight and the price per kilogram, write the same shipment number, then allocate the advance to the invoice.
Stop 4: You record the carrier’s bill
Record the carrier’s or driver’s bill as a purchase invoice in their name with an expense item, and write the same shipment number in it.
Stop 5: The result shows in the income statement
Filter the income statement by the shipment number, and the income and expenses linked to it show.
3. Accounting Software for Shipping and Logistics Companies in Jordan: what Qoyod covers in your company
Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your company, from the freight charge to your branches.
Freight as a service
Define the freight as a service in a category you choose, such as “logistics services”, with a unit of measure: weight, distance or another. Set a default selling price and a revenue account; a service has no purchase price. A service is not stored, so it has no stock balance, and you adjust its price on the invoice for each shipment.
The shipment number and its result
Create an additional text field named “Shipment number” for the customer’s invoice, the carrier’s invoice and the customer’s receipt, and write the same number in all three. Then filter your documents by that field, and filter your income statement by it from “Advanced analysis”, and the income and expenses linked to the shipment show. The result depends on every document that belongs to the shipment carrying the number, and on the carrier’s bill being recorded with an expense item defined in “Products and costs”.
Carrier, driver and subcontractor bills
Record each carrier’s, independent driver’s or subcontractor’s bill as a purchase invoice in their name, and follow their balance and what you have paid. If you pay them before their bill arrives, record the amount as a standalone receipt in their name.
Advances and the customer’s account
Record what a customer transfers before loading as a standalone receipt in their name. It stays unused until you allocate it to an invoice, and the details are in our guide to receipt vouchers and invoices in Jordan. Then follow what you have collected and what each customer still owes in the customer statement, and compare customer debts across periods in the ageing report.
A currency other than the dinar
Add the foreign currency in Settings at its exchange rate, give each customer and supplier a default currency, and choose the currency on the invoice under the customer’s name. When you settle, change the exchange rate, and the difference shows in the realized gains and losses account you choose.
A location for each branch
Add locations named after your branches in “Products and costs”, choose the location on every sales and purchase invoice, then filter the reports by location to see each branch’s sales and purchases. The number of locations depends on your subscription, so ask sales what fits your company.
4. Shipping and logistics companies and the National Invoicing System
Discuss your company’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your company is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases, assets and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. Your accountant shares the decision
If you work with an accountant or an accounting firm, their view on accounting software comes before your decision. The question “is my activity exempt from the invoicing mandate?” belongs with your accountant and the Department. The books belong in Qoyod.

7. Frequently asked questions
Does a shipping or logistics company have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I tie a freight invoice to the carrier’s bill and see a shipment’s result?
Open Settings, then Additional fields, and add a text field named “Shipment number” for sales invoices. Repeat it for purchase invoices and for customer receipts, because each type of document has its own fields. Then write the number in every document that belongs to the shipment, record the carrier’s bill with an expense item defined in “Products and costs”, and you can add a field for the driver’s name the same way. You filter documents by any of these fields, and you filter the income statement by it from “Advanced analysis”, and the income and expenses linked to it show. But a field cannot be made mandatory, it does not show as a column in the report or in the Excel file, and additional fields are not available on fixed assets.
How do I bill a shipment in another currency and record a carrier’s bill in a foreign currency?
Open Settings, then Foreign currencies, create the currency, and set its exchange rate and the realized gains and losses account. You can also give each customer and supplier a default currency. Then choose the currency on the sales or purchase invoice, and the amounts show in it with the total in your base currency. When you settle, you change the exchange rate, and Qoyod works out the difference and records it in the realized gains and losses account you chose. Sending a foreign-currency invoice to the National Invoicing System is not something we show on this page.
How do I record shipping and customs on goods I buy?
An expense cannot be loaded directly onto a product in Qoyod. Record the expense in an expense account on its own, or spread the cost yourself when you record the purchase invoice, by entering the unit price after adding its share of shipping and customs. What you pay on a customer’s behalf as clearance fees or customs is not shown on this page, so ask sales.
Does Qoyod track shipments or issue waybills?
Qoyod is accounting software, and what we show on this page is invoices, receipts, balances, purchases, currencies and assets. Shipment tracking, route planning, waybills, connections to carriers’ systems, warehouse management and settling cash-on-delivery amounts with senders are not shown here, so ask sales what fits your company.
That brings the shipment together in one place: its charge, its carrier’s bill, what you have collected and what is left to you.
