Accounting Software for Travel Agencies in Jordan

What the traveller pays, what you pay the supplier: one trip holds both.

Exempt from the invoicing mandate today or required to issue invoices, your agency keeps the same books: the traveller’s deposit, the invoice for the trip and what your suppliers bill you.

Accounting software for travel agencies in Jordan starts with one booking: a traveller pays a deposit to hold the trip, you issue the invoice for what they bought, and in return the flight supplier and the accommodation supplier send you theirs. Add the trip to Qoyod as a project, record its deposit as a standalone receipt, then link its invoice and the suppliers’ invoices to it.

1. Where the numbers of one trip scatter

Before you choose accounting software for a travel agency, look at where the numbers of a single trip scatter today: the traveller’s deposit, their invoice, the flight and accommodation suppliers’ invoices, and what is left for you.

A deposit before the trip

The traveller books and pays a deposit, the departure is weeks away, and the amount is written on a slip of paper.

With Qoyod: save it as a standalone receipt under their name and allocate it to the trip’s invoice when you issue it.

A supplier for every part

Flights have a supplier, accommodation has a supplier, transport has a supplier, and each one’s invoice falls due on a date.

With Qoyod: enter each as a purchase invoice from that supplier, and watch its balance fall as you pay it.

Companies that travel on account

A company books for its staff and pays at the end of the month, and what it owes sits in a side file.

With Qoyod: record it as a customer, record the credit sale, and follow its statement and its ageing.

What is left of a trip

After the travellers are back you cannot tell what a trip left you, because its receipts and purchases sit on separate papers.

With Qoyod: add the trip as a project, and link its invoice and its suppliers’ invoices to it.

2. A traveller’s trip through your agency

One trip, five stops, from the traveller’s deposit to the result of the trip. You see a new number on the journey card at each stop.

Stop 1: A traveller books and leaves a deposit

Save the deposit as a standalone receipt under the customer’s name. It needs no invoice, and it shows as unused until you allocate it.

Stop 2: The trip opens as a project

Open “Tasks and Projects” and add the trip as a project: a reference number, a name, an expected end date, and its documents attached.

Stop 3: The traveller’s invoice is issued

Issue a sales invoice with one line per part of the trip, each with its quantity and price. Allocate the deposit receipt to it and the amount still due from the customer drops. Then tie the invoice to the trip’s project in the “Additional information” tab.

Stop 4: The suppliers’ invoices arrive

Enter every supplier’s bill as a purchase invoice and tie it to the trip’s project. Each payment you make lowers that supplier’s balance, and the remainder stays owed.

Stop 5: The result of the trip shows

Open the income statement, pick Advanced Analysis and filter by the trip’s project. The result you see is built from what you recorded against it.

3. Accounting Software for Travel Agencies in Jordan: what Qoyod covers in your agency

Electronic invoicing and integrated accounting in one system. Six more jobs sit behind it in your agency, all about your travellers and your suppliers.

The trip as a project

Give every trip its own project: reference number, name, description, expected end date and attachments. Link its invoices and expenses, and mark the project private when only chosen users should see it.

What you sell as services

Add whatever you sell to the traveller as an item of type “service”: sold, never stored. Each gets a revenue account, a default price and a unit of measure picked from the list or added by you, and the price can be changed on every invoice.

Deposits and payments

Save the deposit as a standalone receipt ahead of the invoice and allocate it to the trip’s invoice afterwards. When money comes in stages, record each payment as its own receipt and allocate it. A traveller’s advance can be returned with a disbursement voucher. More in our guide to collecting a credit sale invoice in JoFotara.

The trip’s suppliers

Enter a purchase invoice for each flight, accommodation or transport supplier, then watch its balance and what you have settled. Add your cash and bank accounts and record receipts and payments against them.

Customers on account

Record individuals and companies as customers and sell on credit to those who pay after the trip. Follow what each one owes in the customer statement and the customer ageing report.

The agency’s expenses and statements

Record the agency’s expenses and link the ones that belong to a trip to its project. The income statement, balance sheet, trial balance and general ledger are all there to open.

7. Frequently asked questions

Does a travel agency have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. More detail in our guide to the JoFotara exemption

Can I record a supplier’s invoice before the traveller has paid?

You can. A supplier’s invoice is a purchase invoice, separate from the traveller’s invoice and from their deposit, so record it when it reaches you and link it to the trip’s project. What you pay the supplier against it lowers its balance, and the rest stays due to the supplier.

Do I record the traveller’s deposit before I issue the invoice?

Yes. Save it as a standalone receipt under the customer’s name before the invoice exists. It stays unused until you allocate it to a sales invoice, and that invoice then turns partially paid or paid. An allocation can be undone from the receipt or from the invoice. If a customer’s advance has to go back, create a disbursement voucher for them; how it is treated in the books is for your accountant to decide.

How do I see what is left of each trip?

Tie the trip’s invoice, its suppliers’ invoices and its expenses to the project, then open the income statement, pick Advanced Analysis and filter by that project. The result is built from what you recorded against it, and anything not linked stays out. How the amount of a trip is booked is a question for your accountant.

Does Qoyod handle ticket issuing, booking systems, supplier commissions and settlement with airlines?

Qoyod is accounting software. This page covers invoices, receipts, balances, purchases, projects and expenses. The topics in your question are not covered here, so ask sales what suits your agency.

Is the Projects feature available in my plan?

Ask sales whether it is available in your plan. If you see an “upgrade your plan” message when you open Tasks and Projects, it means the feature is not available in your current plan.

That brings what you collected from the traveller and what you paid the supplier together under one trip in your books.
