Accounting Software for Food Trucks in Jordan

The truck moves, and the books stay in one place.

Whether your truck is exempt from the invoicing mandate today or required to issue invoices, you record your events’ expenses, company orders and kitchen ingredients in Qoyod, and find them all in one set of books.

Accounting Software for Food Trucks in Jordan starts from the event: site fees, fuel and ingredients you pay for before the truck opens, and a company’s order that you serve and that is paid for later. Create a project in Qoyod for each event or pitch, record its expenses and the invoice for its order on it, and follow what each customer still owes.

1. Where do your truck’s numbers scatter?

Before you choose accounting software for a food truck, look at where the numbers of one event live today: its expenses, your kitchen ingredients, what its customers still owe, and the truck itself.

Site fees among the receipts

You pay site fees, fuel and the day’s ingredients in cash, and the receipts stay in a pocket with no event to belong to.

With Qoyod: create a project for each event, and record its expenses on a simple invoice, a purchase invoice or a manual journal entry.

Ingredients between the kitchen and the truck

Ingredients leave the prep kitchen for the truck, and you do not know how much is left at each.

With Qoyod: add the kitchen and the truck as two locations, and move ingredients between them with a stock transfer.

A company orders for its staff

A company orders meals for its staff event and pays part in advance, so the advance gets lost among the messages.

With Qoyod: issue a quotation, record the advance as a receipt voucher, and convert the approved quotation into an invoice.

A truck with no record

The truck and your cooking and cooling equipment are a large investment with no book value and no depreciation.

With Qoyod: add them as fixed assets with a value and a useful life, and follow what depreciates and its book value.

Stop 1: The order’s quotation

Issue a quotation with the meal lines and their prices, send it to the company, and save it as approved once they accept.

Stop 2: The advance

When the company pays part in advance, record it as a standalone receipt voucher with no invoice, and it stays unused until you allocate it to their invoice.

Stop 3: The sales invoice

Convert the approved quotation into a sales invoice, allocate the advance to it once it is approved, and link it to the event’s project from “Additional information”.

Stop 4: The event’s expenses

Record site fees, fuel and the event’s ingredients on a simple invoice or a purchase invoice, and link each to the event’s project, with the ingredients whose balance you do not follow set as not stored, so each is recorded as an expense when you buy it.

Stop 5: The event’s result

Open the income statement with the project filter from “Advanced analysis”, and the invoices and expenses you linked to the event appear.

3. Accounting Software for Food Trucks in Jordan: what Qoyod covers on your truck

Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers on your truck, from the site to the equipment.

A project for each event

Open a project named after the event or the site, and filter sales invoices, purchase invoices and quotations by it. Make the project private so only chosen users see it. Projects are available depending on your subscription, so ask sales which subscription includes them.

Site and fuel expenses

Record site fees, permit fees and fuel as ordinary expenses on a simple invoice, a purchase invoice or a manual journal entry, link them to the event’s project, and pull the expenses of one project from the account statement with the project filter. A product that is not stored is recorded as an expense when you buy it, while a stored product’s value enters stock and does not show as an expense on the project when you buy it.

Kitchen and truck ingredients

Add the ingredients whose balance you follow as stored products with a unit of measure, and create the kitchen and the truck as two locations. The product locations report shows each item’s balance in each location, and you move quantities between them with a stock transfer. Qoyod uses average cost. The number of locations depends on your subscription.

Company orders

Issue a quotation for the order, and convert it into a sales invoice once the company approves. Record what they paid in advance as a standalone receipt voucher, which stays unused until you allocate it to their invoice. Follow what they still owe in the customer statement and the customer ageing report. More in our guide to receipt vouchers and invoices in Jordan.

More than one truck

If you own more than one truck, add a location for each, set the location on every sales and purchase invoice, and filter the sales and purchases summary report by location to see each truck’s sales and purchases. The number of locations depends on your subscription.

The truck and its equipment

Record the truck and your cooking and cooling equipment as fixed assets, and follow the depreciation of what depreciates and its book value. Depreciation is posted as an expense at the asset level. Fixed assets are available depending on your subscription.

7. Frequently asked questions

Does a food truck owner have to issue invoices through the National Invoicing System (JoFotara)?

The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

More detail in our guide to the JoFotara exemption

If a business is not required to issue invoices, does that mean it pays no sales tax?

Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.

How do I see what I have recorded on each event?

Create a project named after the event or the site under “Tasks and Projects”, then “Projects”. Then record its expenses on a simple invoice, a purchase invoice or a manual journal entry, and link its sales invoice to it from the “Additional information” tab of each document. When you open the income statement, choose “Advanced analysis” and select the project in the filter options, the expenses and invoices you linked to it appear. The result depends on what you linked, so anything not linked to a project does not appear in it. The project name does not print on the invoice unless you add an extra field with that name. Projects are available depending on your subscription, so ask sales which subscription includes them.

How do I move ingredients to the truck and follow their balance?

Open “Products and costs”, then “Locations”, add the kitchen and the truck as two locations, and add the ingredients whose balance you follow as stored products with a unit of measure. Move quantities between the two locations with a stock transfer, then open the product locations report to see each item’s balance in each location. Qoyod calculates average cost only, and the first in, first out method is not available. The number of locations depends on your subscription. An ingredient whose balance you do not follow should be a not-stored product, so its value is recorded as an expense when you buy it. Choose the status when you create the product, because it cannot be changed after movements are recorded on it.

Does Qoyod track expiry dates or batch numbers?

No. Qoyod does not track batch numbers or expiry dates, so you read the expiry from the packaging. A damaged or missing ingredient is recorded as a difference in a stock count, after you add an account for it such as “damaged goods”.

Does Qoyod manage customer orders at the truck, a digital menu, delivery apps and dish recipes?

Qoyod is accounting software, and what we show on this page is invoices, vouchers, balances, purchases, stock, projects, assets and reports. Customer orders at the truck, a digital menu, delivery apps, dish recipes and their costs, and tips are not something we show here, so ask sales what fits your truck.

That is how your truck’s accounts stay in one place, wherever it moves.
