The tent by its days, the setup at its price, the deposit on its receipt.
Whether your company is exempt from the invoicing mandate today or required to issue invoices, you record the rental days, the setup and the deposit in Qoyod, and you follow what each customer still owes.
Accounting software for tent rental in Jordan starts with one booking: a customer pays a deposit to reserve a tent, it is put up at their site and stays for a few days before it comes down, and what has not been paid stays due. Transport and setup suppliers do their part in between, each with an invoice. Add the rental to Qoyod as a project, record its deposit as a standalone receipt, then link its invoice and expenses to it.
1. What one rental’s numbers are made of
Before you choose accounting software for a tent rental company, look at where the numbers of a single rental live today: its deposit, its days, its setup and the invoices of whoever carries and puts up the tent.
A deposit before the setup
The customer reserves a tent and pays a deposit, the setup date is a few days away, and the amount is written on a slip of paper.
With Qoyod: enter it as a standalone receipt for the customer, then allocate it to the rental invoice once that is issued.
Days at a daily price
A customer rents for three days or a week, and the price is worked out by hand when the invoice is written.
With Qoyod: add the rental as a service, name its unit “day”, and enter the number of days as the quantity.
Transport and setup suppliers
One truck carries the tent and one crew puts it up, and each sends an invoice at a different time.
With Qoyod: record each invoice in its supplier’s name, and follow what is left to pay and what you have paid.
Tents that serve for years
You buy a tent once and rent it out for years, and its cost never shows in the sales books.
With Qoyod: add it as a fixed asset and follow its depreciation and its book value.
2. A tent rental’s journey through your company
One rental, five stops, from the booking deposit to the rental’s figures. You see a new number on the journey card at each stop.
Stop 1: The customer books and pays a deposit
A standalone receipt in the customer’s name is enough to record the deposit ahead of any invoice, and it stays unused until you allocate it.
Stop 2: The rental opens as a project
Open a project for the rental in “Tasks and Projects”, giving it a reference number, a name and an expected end date, and attach the contract if there is one.
Stop 3: The tent goes up and the invoice is issued
Issue a sales invoice with a “tent rental” line with the number of days and a “setup and dismantling” line, and allocate the deposit receipt to it, so that the amount still due from the customer goes down. Link it to the rental’s project from the “Additional information” tab.
Stop 4: Transport and setup arrive
Enter the transport or setup supplier’s invoice as a purchase invoice under its name, and link it to the rental’s project. Payments you make reduce the supplier’s balance, and what remains is still owed to them.
Stop 5: The rental’s figures show
Open the income statement, pick Advanced Analysis and filter by the rental’s project: its figures show what you recorded against it.
3. Accounting Software for Tent Rental in Jordan: what Qoyod covers in your company
Electronic invoicing and integrated accounting in one system. Here are six more jobs Qoyod covers in your company, from days of rental to the tents themselves.
The rental as a project
Open a project for each rental with a reference number, a name, a description and an expected end date, attach the contract if there is one, and link its invoice and expenses to it. If you make it private, only the users you choose see it.
Rental and setup as services
Add tent rental and setup and dismantling as two services, which are sold and not stored. Name the rental’s unit of measure “day”, give each a revenue account and a default price, and adjust the price on every invoice.
Deposits and payments
Record the deposit as a standalone receipt ahead of the invoice, then allocate it to the rental’s invoice. If money comes in several goes, give each payment its own receipt and allocate it to the same invoice. To give back an amount the customer paid in advance, create a disbursement voucher in their name. More in our guide to collecting a credit sale invoice in JoFotara.
Transport and setup suppliers
Enter each transport, setup or maintenance supplier’s bill as a purchase invoice, and follow its balance and your settlements. Add your cash and bank accounts and record the money in and out on them.
Tents as fixed assets
Add every tent as a fixed asset under a name of your choosing, and follow its depreciation and its book value.
Customers and expenses
Record families and companies as customers, record the credit sale for whoever pays after the tent comes down, and follow what they owe in the customer statement and the customer ageing report. Record the company’s expenses, and link whatever belongs to a rental to its project. Open the income statement, balance sheet, trial balance and general ledger.

7. Frequently asked questions
Does a tent rental company have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

Can I add rental contracts in Qoyod?
Qoyod has no direct feature for adding contracts. What you can do is use a project instead: record the contract number, its start and end dates, its value and its details in the project, and link your invoices and expenses to it.
How do I record a tent’s rental by the day?
Add the rental as a product of the “service” type, give it a unit of measure that you name “day”, set a default selling price and a revenue account, and leave the purchase price empty. Add setup and dismantling as a second service. On the sales invoice, write the number of days as the quantity, and adjust the price when you need to.
Do I record the booking deposit before I issue the invoice?
Yes. Enter it as a standalone receipt in the customer’s name ahead of the invoice; it shows as unused until you allocate it to a sales invoice, which then turns partially paid or paid. You can undo the allocation from the receipt or from the invoice. If you give the customer back an amount paid in advance, create a disbursement voucher for them. Your accountant decides how that is treated in your books.

Does Qoyod manage tent availability on given dates, the condition of each tent and what is taken off the deposit for damage?
Qoyod is accounting software, and what this page shows is invoices, receipts, balances, purchases, projects, assets and expenses. The topics in your question are not shown here, so ask the sales team what suits your company.
Is the Projects feature available in my plan?
Ask sales whether it is available in your plan. If you see an “upgrade your plan” message when you open Tasks and Projects, it means the feature is not available in your current plan.
That brings the numbers of a rental together in your books: its deposit, its days, its suppliers and its figures.
