What you collected, what you owe, what you bought.
Whether your gym is exempt from the invoicing mandate today or required to issue invoices, you record in Qoyod what members pay, what you owe trainers and suppliers, and the equipment you buy.
Accounting Software for Gyms and Fitness Centers in Jordan starts from three questions: how much did members pay, how much is left to pay your trainers and suppliers, and what did you buy for the floor that will serve you for years? In a gym or fitness center, from Amman to Irbid, a member pays the membership fee before starting, a trainer works for a fee, and the gym buys equipment that stays in service for years. Define each membership in Qoyod as a service with its price, issue the invoice, record the trainer’s fee as a purchase invoice, and record the machine as a fixed asset.
1. A day in the gym
Before you choose accounting software for a gym, look at where your numbers are scattered today: membership prices, what members paid in advance, trainers’ fees and the equipment on the floor.
Memberships at different prices
Each type of membership has its own price, and the list sits in a side file.
With Qoyod: define each type as a service with its default price, and change the price on the invoice when it differs.
A member who pays before starting
The member pays the membership fee in advance, and you have nowhere to put the money until the invoice is issued.
With Qoyod: record the payment as a receipt in their name, then allocate it to their invoice.
A trainer waiting for a fee
A trainer’s fee sits in a message, and the hall rent on another sheet.
With Qoyod: record the fee as a purchase invoice in their name as a supplier, and follow their balance and what you have paid.
A machine that works for years
You buy a treadmill once, so its value sits in a file and your books do not show how much of it is left.
With Qoyod: record it as a fixed asset through a purchase invoice, and follow its depreciation and book value.
2. A month in your gym
One month, five stops, one new number on the journey card at each.
Stop 1: The membership is defined
Define the membership in Qoyod as a service with a default selling price and a revenue account. A service is not stored and not purchased, so it needs no purchase price.
Stop 2: A payment from the member
What a member pays before the invoice, record as a standalone receipt in their name, and it stays unused until you allocate it.
Stop 3: The member’s invoice is issued
Issue the sales invoice, cash or credit, allocate the receipt to it, and follow what you have collected and what is left for the member to pay.
Stop 4: The trainer’s fee
Record the trainer’s fee as a purchase invoice in their name as a supplier, and what you have not paid of it stays in their balance.
Stop 5: A new machine
Record the machine as a fixed asset through a purchase invoice, and follow its depreciation and book value.
3. Accounting Software for Gyms and Fitness Centers in Jordan: what Qoyod covers in your gym
Electronic invoicing and integrated accounting in one system. And here are six more jobs Qoyod covers in your gym and fitness center.
A membership as a service with its price
Add each type of membership as a service with a default selling price and a revenue account, and change the price on the invoice when it differs.
The account of a member or a company on credit
Record credit invoices on the customer’s account, and review their balance in the customer statement and the customer ageing report. More in our guide to collecting a credit sale invoice in JoFotara.
An advance from a member
Record what a member pays before the invoice as a standalone receipt in their name, then allocate it to the sales invoice.
Trainers and suppliers
Record purchase invoices for trainers’ fees, hall rent and equipment servicing, and follow each supplier’s balance and what you have paid.
Gym equipment as fixed assets
Record a machine as a fixed asset through a purchase invoice, follow its depreciation and book value, and pull up the fixed assets register.
Supplements and drinks with their stock
Add what you sell in supplements and drinks as items with a purchase price and a selling price, and follow each item’s balance. The product cost and margin report shows each item’s cost and margin, and the cost shown is the average cost.
4. Gyms and fitness centers and the National Invoicing System
Discuss your gym’s position with your accountant.
Who must use e-invoicing in Jordan
Whether your gym is exempt from the invoicing mandate or required to issue invoices, Qoyod keeps the books for your services, purchases and cash, and it is integrated with the National Invoicing System (JoFotara) for when you need it.
5. Your accountant shares the decision
If an accountant or an accounting firm works with your gym, hear their view before you decide on accounting software. The question “is my activity exempt from the invoicing mandate?” is for your accountant and the Department, and the books are for Qoyod.

7. Frequently asked questions
Does a gym or fitness center have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I record my gym’s memberships and their prices in Qoyod?
Each membership goes in as a product of the type “service”, with a default selling price and a revenue account, and it needs no purchase price. A service is not stored, and it is used on sales invoices, quotations and credit notes. If the price differs for a member, change it on the invoice.
Can I set a special price for each member or company?
Qoyod does not support custom price lists or a special price for each customer. What you can do is change the unit price by hand inside the invoice or the quotation, customer by customer.
Can I record a payment a member makes before the invoice?
Yes. Record what they paid as a standalone receipt voucher in the customer’s name, with no invoice, and it stays unused until you allocate it to a later sales invoice.

Does Qoyod manage gym memberships, member entry and class booking?
Qoyod is accounting software, and what we show on this page is invoices, balances, purchases, fixed assets and reports. Renewing or freezing memberships, member entry, class booking or paying trainers a share of their sessions is not something we show here, so ask sales what fits your gym.
That completes the gym’s books: what members paid, what is left for trainers and suppliers, and the equipment you bought.
