Coffee is sold by the cup, and the books are reviewed by the month.
Whether your cafe is exempt from the invoicing mandate today or required to issue invoices, each supplier has a balance, and each item has its balance in each location.
Accounting software for cafes and coffee shops in Jordan starts with one question: what did you buy this month, how much of it have you paid, and what is left? In a coffee shop or a cafe, from Amman to Irbid, beans, milk and cups arrive from different suppliers, the machine is bought once, and stock is split between a store and a branch. Add each item in Qoyod as a product with its code, purchase price and selling price, and record your supplier invoices as they arrive.
1. A month of work in a cafe
Before you choose accounting software for your cafe in Jordan, look at where your numbers live today: the supplier invoices, the sheet for the machine, the store book, and the rent and electricity receipts.
The bean and milk supplier
The supplier delivers today and asks for payment next week, and the amount that is left is kept in your head.
With Qoyod: record purchase invoices from your suppliers, and follow each supplier’s balance and what you have paid.
The coffee machine
You bought the machine once for a large sum, and no one knows what it is worth today.
With Qoyod: record the machine as a fixed asset, and follow its depreciation and its book value.
The store is not the branch
The cups are in the store while the branch asks for them, and each has its own book.
With Qoyod: add your locations and transfer stock between them, and follow each item’s balance in each location.
Rent, electricity and maintenance
The month’s expenses are scattered between receipts and photos on a phone.
With Qoyod: record the cafe’s expenses and follow them.
2. A month’s journey through your cafe
Every stop adds a new line to the journey card.
Stop 1: The beans and milk arrive
Record a purchase invoice in the supplier’s name. What you have paid lowers the supplier’s balance, and the rest stays due to the supplier.
Stop 2: You buy the machine
Record the purchase of the machine on a purchase invoice as a fixed asset, then follow its depreciation and its book value.
Stop 3: From the store to the branch
Transfer the cups from the store location to the branch location, and the balance of each location shows on its own.
Stop 4: A credit sales invoice
Issue a credit sales invoice to a customer who buys on account, and record what you collect from the customer, so that what is still owed shows.
Stop 5: What the ledger says
Income and expenses show in the income statement among the ready reports in Qoyod, and what is left on the customer in the customer’s statement.

7. Frequently asked questions
Does a cafe or coffee shop have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Article (4) of the Invoicing Affairs Instructions sets out activities that are exempt under conditions. Other sectors were added to the list by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.
More detail in our guide to the JoFotara exemption
If a business is not required to issue invoices, does that mean it pays no sales tax?
Not by itself. An exemption from the provisions of the Invoicing Regulation, where one applies, does not on its own exempt anyone from General Sales Tax or income tax, each of which has its own law. Check your tax position with your accountant.
How do I record the invoices of the bean and milk supplier and what is left owing?
Record a purchase invoice in the supplier’s name, and follow the supplier’s balance and what you have paid. Add your cash and bank accounts, and record what you pay against them.
How do I record the coffee machine and the cafe’s equipment?
Record the purchase on a purchase invoice as a fixed asset, or enter it as an opening balance if you already own it. Then review its depreciation and its book value on the asset’s value adjustment page.
Does Qoyod manage the drinks menu and its recipes, hall tables, loyalty cards and delivery apps?
Qoyod is accounting software, and what we show on this page is invoices, balances, purchases, stock, assets and expenses. What your question lists is not shown here, so ask sales what suits your cafe.
Can my accountant see the cafe’s books?
Yes. Add your accountant as a user on your account, with the role and permissions you set, and they review the invoices and the ready reports.
That brings the cafe’s numbers together in one place: what you bought and what is left for your suppliers, the value of your equipment, the balance of each location, and what is left on your customers.
