The whole order, in your books: item, shipping, return.
Whether your store is exempt from the invoicing mandate today or required to issue invoices, each order has its invoice, its shipping, its collection and its return.
Accounting software for online stores in Jordan starts with one question: what comes together in a single order? In a store selling from Amman to Aqaba, an order carries an item that leaves stock, a shipping fee the customer pays, an amount you collect, and sometimes a part that comes back. Issue a sales invoice for each order, add shipping as its own line, record what you collected, and take back what returns with a credit note.
1. A day running an online store
Before you choose an accounting system for an online store, look at where an order’s numbers live today: the platform dashboard, the payment provider’s statement and the courier’s slip.
Orders sit in the platform, books sit elsewhere
The platform gathers your orders, and your ledger records only what you enter in it.
With Qoyod: issue a sales invoice for each order with its items and customer, cash or on credit, so your sales come together in one ledger.
Shipping hides inside the item’s price
You fold the shipping fee into the item’s price or leave it off the invoice, so you never see an item’s profit on its own.
With Qoyod: add the shipping fee as a service with its own price and revenue account, and it shows as a separate line on the order’s invoice.
What you collected is not what you invoiced
One payment arrives for several orders, so it is hard to tell which invoice it settled.
With Qoyod: record every amount you collect as a receipt voucher on its invoice, and follow your customer’s balance in the statement.
An order comes back after shipping
The whole order or part of it returns after it has left stock, and its effect never reaches your numbers.
With Qoyod: take it back with a credit note, which puts the quantity of stocked items back into stock and lowers the customer’s balance.
2. An order’s journey: five stops
An order passes through five stops in your store, and the item’s card gains a new line at each.
Stop 1: Your stock arrives
Twenty bags arrive, and you enter one purchase invoice under the supplier’s name. Whatever you pay lowers the supplier’s balance, the rest stays owed, and the bags’ cost goes into the item’s average cost.
Stop 2: It enters your store as an item
You add the item as a product, giving it a code, a category, a purchase price and a selling price, and its balance shows in the warehouse.
Stop 3: A customer orders it
The customer orders two bags, so a sales invoice is issued for them, shipping is added as a separate line, and the warehouse balance goes down.
Stop 4: You record what you collected
Record a receipt voucher on the invoice for what you collected from the customer, and if anything remains, follow it in the customer statement.
Stop 5: If it comes back, it comes back
If the customer sends a bag back, issue a credit note for it: its quantity goes back into stock and the customer’s balance falls.
3. Accounting Software for Online Stores in Jordan: what Qoyod covers in your store
E-invoicing and accounting, integrated in one system. Here are six more jobs Qoyod covers in your store.
An invoice for every order
Issue a sales invoice for each order with its items and customer, cash or on credit, and check each customer’s balance in their statement.
Shipping with its own price
Add the shipping fee as a service, priced and tied to a revenue account of its own, and list it as a separate line on the order’s invoice.
Items with their attributes
Link product attributes, such as colour and size, to your product, and Qoyod creates a sub-product for each combination with its own code.
Cost and margin for every item
The product cost and profit margin report shows each item’s category, its quantity in the location, its average cost and its margin.
Collections and statements
Record what you collect as a receipt voucher, and partial payments on a credit sales invoice, and follow the remainder in the customer statement. More in our guide to receipt voucher vs invoice in Jordan.
Returns and exchanges
Take the returned item back with a credit note that puts the quantity of stocked items back into stock, and issue the replacement a new invoice. More in our guide to exchanging goods in JoFotara.
4. Online stores and the National Invoicing System

7. Frequently asked questions
Does an online store have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

Does Qoyod connect to my online store platform?
There is no direct link between Qoyod and online store platforms. Global platforms such as Shopify and WooCommerce reach Qoyod through Zapier or the API, both available in Jordan depending on your subscription. With Zapier you can create invoices, customers and receipt vouchers, and the connection is managed from Zapier itself. Connecting through the API needs a developer. Ask sales what suits your store.
How do I invoice shipping fees?
Create a service item for them: it is never stocked, only sold, and you set its selling price and revenue account. Then add it as a separate line on the order’s sales invoice.
How do I record an order that the customer returns after shipping?
Issue a credit note for the returned items: the quantity of stocked items goes back into stock and the customer’s balance falls. For an exchange, issue a new invoice for the replacement item.

How do I record what a payment provider deducts from an order’s amount?
Record what you collected as a receipt voucher on the invoice, then record the deducted amount as a manual journal entry: add an expense account to the chart of accounts and make it the debit, and make the account the amount came out of the credit.
Does Qoyod follow shipment status and platform stock?
What we show on this page is the accounting side of an order: its invoice, its shipping as a separate line, its collection, its return, and the item’s balance in Qoyod. Following shipment status, linking couriers and matching a platform’s stock are not something we show here, so ask sales what suits your store.
That completes the order in your books: its invoice, its shipping, its collection and its return. That answers the first question.
