One group, many suppliers, one result.
Exempt from the invoicing mandate today or required to issue invoices, your company keeps the same books: the group’s deposit, its invoice and what the people who serve it bill you.
Tour operator accounting software in Jordan starts with one group: an agent, a company or a school books for its people and sends a deposit, you issue an invoice by the number of travellers and the price per traveller, and the accommodation, transport and guide invoices follow. Open a project for the group in Qoyod, record its deposit as a standalone receipt, then link its invoice and its suppliers’ invoices to it.
1. Where the numbers of one group scatter
Before you choose software for a tour operator, look at where the numbers of a single group scatter today: its deposit, its invoice, the invoices for its accommodation, transport and guide, and what it ended up as.
A deposit from the booking customer
An agent or a company books for its group and transfers a deposit, the group leaves in a few weeks, and the amount sits somewhere in a chat.
With Qoyod: save it as a standalone receipt under the customer’s name and allocate it later to the group’s invoice.
Many suppliers for one group
Accommodation, transport and a guide, each with an invoice and a due date, and some ask for a payment before the group arrives.
With Qoyod: enter each bill as a purchase invoice from that supplier, and each advance as a standalone supplier voucher.
An agent who pays in another currency
An agent abroad pays in a currency other than the dinar, and the numbers drift between two currencies.
With Qoyod: change the invoice currency under the customer’s name and read the total in both.
What a group leaves behind
The group is back and its numbers are not in one place, because its receipts and purchases sit in separate files.
With Qoyod: open a project for the group and link its invoice and its suppliers’ invoices to it.
2. A group travelling through your company
One group, five stops, from its customer’s deposit to its numbers. You see a new number on the group card at each stop.
Stop 1: The customer books and transfers a deposit
Record what the customer transferred as a standalone receipt under their name before any invoice exists, and it shows as unused until you allocate it.
Stop 2: The group opens as a project
Go to “Tasks and Projects” and add the group as a project with a reference number, a name, a description and an expected end date, and attach the documents it needs.
Stop 3: The group’s invoice is issued
Issue a sales invoice with a line for each programme, its quantity the number of travellers and the price per traveller beside it, and allocate the deposit receipt to it so the amount due from the customer drops. Then choose the group’s project in the “Additional information” tab.
Stop 4: The invoices of those who serve the group arrive
Enter each supplier’s bill as a purchase invoice under its name, with an expense item defined in “Products and Costs”, and choose the group’s project on it. If a supplier asks for a payment before the group arrives, record it as a standalone supplier voucher and allocate it to that supplier’s invoice.
Stop 5: The group’s numbers show
Open the income statement, pick Advanced Analysis and filter by the group’s project, and you see the income and expenses you recorded against it.
3. Tour Operator Accounting Software in Jordan: what Qoyod covers in your company
Electronic invoicing and integrated accounting in one system. Six more jobs sit behind it in your company, all about your groups and your suppliers.
The group as a project
Give every group its own project with a reference number, a name, a description, an expected end date and attachments. Link its invoice, its deposit receipt and its suppliers’ invoices to it, then filter the income statement by it.
Your programmes as services
Add each programme you sell as an item of type “service”, sold and never stored, with a revenue account, a default price per traveller and a unit of measure that you add under the name “traveller”, and change the price on each invoice.
The group’s deposit and payments
Save the customer’s deposit as a standalone receipt ahead of the invoice and allocate it once the invoice is issued. Whatever you collect after that goes onto the invoice as a partial payment. A disbursement voucher returns an amount you collected in advance. More in our guide to collecting a credit sale invoice in JoFotara.
Agents who pay in a foreign currency
Set up the foreign currency in Settings and switch an agent’s invoice to it from the currency field under the customer’s name. The invoice shows its total in that currency and its grand total in your base currency, you can change the exchange rate at settlement, and the difference goes to the realised gains and losses account you chose for the currency.
The group’s suppliers
Enter the accommodation, transport and guide bills as purchase invoices, and follow each supplier’s balance and what you have paid. A supplier who asks for an advance gets a standalone supplier voucher, unused until you allocate it to their invoice.
Customers on account and the company’s expenses
Record agents, companies and schools as customers, sell on credit to those who pay after departure, and follow each account in the customer statement and the customer ageing report. Record your company’s expenses and open the income statement, balance sheet, trial balance and general ledger.
4. Tour operators and the National Invoicing System
Discuss your company’s position with your accountant.

7. Frequently asked questions
Does a tour operator have to issue invoices through the National Invoicing System (JoFotara)?
The e-invoicing mandate covers every seller of goods or provider of services, not only those registered for General Sales Tax, except for activities that the Invoicing Affairs Instructions exempt under set conditions. A seller that is not registered issues an income invoice. Mandatory application has been in force since 1 April 2025, with oversight steadily tightening. Other sectors were added to the list in Article (4) of the Invoicing Affairs Instructions by later amendments, so it is not a closed list. Check the text in force for your activity with the Income and Sales Tax Department.

How do I record a group that pays a deposit and settles the rest after it leaves?
Save the deposit as a standalone receipt under the customer’s name before the invoice exists, and it stays unused until you allocate it to a sales invoice. Once the invoice is issued, allocate the receipt to it, then add every amount that reaches you as a partial payment, and the invoice moves to “Partially paid” and then “Paid”. An allocation can be undone from the receipt or from the invoice.

How do I invoice an agent who pays in a foreign currency?
Create the currency in Settings and set its realised gains and losses account, then switch the invoice currency under the customer’s name. The end of the invoice shows the total in the foreign currency and the grand total in your base currency, and you change the exchange rate at settlement if it moved. What is sent to the National Invoicing System for a foreign currency invoice is not shown on this page.
Does Qoyod show the numbers of each group?
Link the group’s invoice, its deposit receipt and its suppliers’ invoices to its project, with the purchase invoices recorded against an expense item defined in “Products and Costs”. Then open the income statement, pick Advanced Analysis and filter by that project. The numbers are built from what you recorded against it, and anything not linked stays out. How a group’s amounts are booked is a question for your accountant.
Does Qoyod handle package pricing and costing, supplier commissions and group bookings?
Qoyod is accounting software. This page covers invoices, vouchers, balances, purchases, currencies, projects and expenses. The topics in your question are not covered here, so ask sales what suits your company.
Is the Projects feature available in my plan?
Ask sales whether it is available in your plan. If you see an “upgrade your plan” message when you open Tasks and Projects, it means the feature is not available in your current plan.
That brings a group, with all its suppliers and everything you collected, together under one project in your books.
